Responsibilities:
The incumbent will be responsible for:
- Planning and co-ordinating with users, on-campus distribution stores, maintenance store and warehouses at secondary hospitals to ensure delivery and replenishment of inventory within allowable time to meet Key Performance Indicators (KPI)
- Regular follow-ups Pending Inspection, Discrepancy Items, proper update of maintained delivery, expedite and supervise GRIN processing of Import and Local Receiving’s.
- Ensuring vendor management at receiving counter.
- Ensuring following of policy and procedures of receiving of material as per warehousing best practices and temperature control items
- Scheduling and overseeing warehouse team to meet the demands of the fulfilment centre, and manage the flow and quality of work to maximize efficiency and minimize overtime
- Ensuring effective, safe accurate and timely stock management to include space allocation, stock transfer and dealing with non-confirming & expired products.
- Receiving, storage, preservation, monitoring, issuance, expiry monitoring and disposal of items stored in warehouse. This is to be done in compliance with department’s policies and procedures.
- Ensuring proper records such as receiving, issuance, inspection, picking, expiry reports, discrepancy, disposal etc. are maintained at all times.
- Organising and ensuring accurate and periodic cycle counts and stock takes to report physical variances on quarterly basis. Deploy regular checks to reconcile stock adjustments.
- Overall responsibility for all aspects of the effective supervision, training and development and personal safety standards
- Maintaining close coordination with users / internal customers to ensure desired level of services.
- Ensuring that staff should maintain and follow behaviour of CARR (Communication, Attitude, Response and Respect) in all times.
- Maintaining documentation and keeping accurate records of warehouse activities.
- Ensuring compliance at the time of internal and external audits of ISO and JCIA.
