Job Responsibilities

Administrative Functions
• To be equipped with relevant product operating knowledge of the various IT systems, office equipment. To observe all measures in place.
• Able to handle customer requests tactfully, including offering alternative solutions to customers when services requested are not available.
• To be receptive to customers’ feedback with due patience and diligence.
• Provide general secretarial support to the clients.
• Deal with enquiries via walk-ins, calls and email.
• Ensure a smooth running of the Centre and its day-to-day operations.
• Assist in coordinating department events and organize team building events for the team.
• Perform cashiering duties.
• Maintain the cleanliness of working areas and be involved in energy conservation.
• Equipped with basic knowledge of property information.
• Maintain physical stamina and proper mental attitude to handle the job function and provide customer service to events.
• To be cross trained and to be competent at the cross trained location and adhere to the immediate manager’s deployment arrangement.
• Encouraged to contribute ideas that can help with the improvement of department’s work process.
• Perform any other duties as assigned by the immediate supervisor / manager and head of department.

Departmental Functions
• Provide copying, printing and other services offered at the Business Centre.
• Perform administrative and secretarial roles, where required by Business Centre Assistant Manager.
• Assist in the overall management of Centre’s operations including opening and closing procedures.
• Equipped with knowledge on projector trouble shooting to assist with guest’s requirement.
• Ensure booking system updates are done according to the standards set.
• Maintain an updated inventory of all items related to the Business Centre and ensure requisition of equipment, merchandises and supplies in a timely manner while observing standard operation procedures.
• Prepare quotation for meeting room enquiries.
• Meeting room set-up and turnover of meeting rooms.
• Always listen to customers’ feedback with due patience and diligence.
• Handle food and beverage requirement as required by the conference room guests.
• To be service ready at all times and able to handle the 4-booking space in the Business Centre and provide secretarial service to event guest, hotel guest, internal stakeholders and city guests.
• Assist with the laptop and audio setup as required by conference room guests.
• To be cross trained at the Mail & Package Centre and to assist with Mail & Package Centre operations when needed.

Job Requirements
Education & Certification
• Secondary education preferred
Experience
• No experience required as training will be provided
• Competent in Microsoft Office application.
Other Prerequisites
• Pleasant personality and able to communicate with guests.
• Willing to work various shifts, including mornings, afternoons, and overnight, as well as on public holidays.
• Able to multi-task and work in a fast-paced environment.
• Able to work under minimal supervision.
• A team player and customer service oriented.
• Excellent verbal and written communication skills.
• Experience in or related industry is an advantage.
• Get along with fellow team members/other departments and work as a team.
• Positive attitude, self-motivated with lots of initiative.
• Possess excellent interpersonal, customer service and communication skills.
• Meet the attendance guidelines of the job and adhere to departmental and company policies.
• Work with internal management and team members, as well as outside support, to develop and maintain a continuing atmosphere of peak comfort and safety.
• Handle stressful situations, respond calmly, and make rational decision when handling conflicts.
• Mature disposition, and have a well-groomed, professional appearance.
