
Primary Purpose The Coordinator, Academic Programs provides program-wide administrative coordination for postgraduate medical education within the Department of Family Medicine. Reporting to the Manager, Academic Programs, the Coordinator serves as a central point of coordination between program leadership and administrative staff supporting postgraduate medical education. The position coordinates administrative priorities, workflows, timelines, program processes, and operational requirements across a provincially distributed residency program. Under the direction of the Manager, Academic Programs, the Coordinator provides functional direction to administrative staff regarding established program processes, priorities, timelines, and administrative requirements and supports consistency, cross-coverage, communication, and continuity across the administrative team. Working closely with the Program Director, Assistant Program Directors, site leadership, and administrative staff, the Coordinator supports the effective and consistent delivery of postgraduate medical education across Saskatchewan.
Nature of Work The Coordinator works within a complex and provincially distributed medical education environment involving multiple residency training sites, academic leaders, faculty, residents, administrative staff, and university and health-system partners. The position requires coordination of activities across multiple programs, sites, timelines, and administrative functions. The Coordinator must be able to organize competing priorities, coordinate work involving multiple contributors, provide functional direction within established program requirements, monitor timelines and deliverables, identify operational gaps, and determine when issues require escalation to the Manager, Academic Programs or program leadership. The Coordinator supports the Manager, Academic Programs in ensuring administrative processes are consistently implemented across postgraduate education. This includes coordinating workflows and cross-coverage, supporting administrative staff in interpreting and implementing established program processes, and facilitating communication between program leadership and the administrative team. The Manager retains accountability for portfolio oversight, staff management, operational planning, and matters requiring management-level decision or direction. The work requires initiative, discretion, sound judgment, adaptability, and the ability to work independently within established policies, procedures, and program requirements. The Coordinator routinely manages confidential and sensitive information and must exercise judgement in responding to issues involving residents, faculty, staff, and program operations. The position works collaboratively with other departmental portfolios and university partners supporting accreditation, faculty development, continuous improvement, community engagement, program evaluation, and medical education.
Accountabilities: Administrative Team Coordination Under the direction of the Manager, Academic Programs, coordinates day-to-day administrative workflows supporting postgraduate medical education and provides functional direction to administrative staff regarding established program priorities, processes, timelines, and requirements. Coordinates workflow and cross-coverage, monitors completion of program-wide administrative requirements, follows up on outstanding activities, and supports consistent administrative practices across distributed sites. Routine workflow and process issues are addressed within established direction, with significant operational, workload, or performance concerns escalated to the Manager. Supports onboarding, orientation, knowledge sharing, and cross-training within the administrative team. Academic Program Coordination Coordinates administrative processes and activities supporting postgraduate medical education across distributed training sites. Works with the Manager, Program Director, Assistant Program Directors, site leadership, and administrative staff to coordinate program priorities, timelines, activities, and operational requirements. Coordinates program-wide activities including orientations, retreats, Foundations, resident recruitment and CaRMS selection processes, certification examinations, meetings, resident and program awards, and other postgraduate educational or departmental initiatives. Identifies administrative dependencies, competing priorities, or operational issues that may affect program delivery and supports appropriate resolution or escalation. Governance, Compliance & Accreditation Coordinates administrative support for postgraduate education governance, including the Residency Program Committee and related committees and meetings. Coordinates agendas and supporting materials, maintains minutes and records, and tracks decisions, action items, and follow-up requirements. Supports administrative processes for monitoring resident and program requirements, including certification examinations, mandatory educational activities, institutional requirements, and program documentation. Coordinates the collection and maintenance of documentation and evidence required for accreditation, internal review, program evaluation, and institutional reporting and supports follow-up on identified actions and requirements. Information & Systems Coordination Coordinates administrative information, documentation, and systems supporting postgraduate medical education, including resident information, program resources, SharePoint content, educational administration systems, and program records. Supports accurate and consistent collection, maintenance, and organization of information used for program operations, reporting, planning, evaluation, and accreditation. Process Improvement & Collaboration Identifies opportunities to improve administrative processes, strengthen consistency, reduce duplication, and enhance coordination across postgraduate education activities. Works collaboratively with program leadership, administrative staff, departmental portfolios, College of Medicine partners, and external stakeholders to support effective program delivery and the implementation of approved program initiatives. Occasional travel may be required to support distributed program activities, meetings, and departmental initiatives.
Qualifications: Education: Completion of an undergraduate degree in business administration, education, health sciences, or a related discipline is required. An equivalent combination of education and relevant experience may be considered.
Experience: A minimum of five years of related experience in a complex academic, healthcare, public-sector, or similarly distributed environment is required. Demonstrated experience coordinating administrative operations, workflows, programs, projects, or the work of others is required, including establishing priorities and timelines, following up on deliverables, and supporting consistent processes. Experience providing functional direction, coordinating workflow or cross-coverage, resolving operational issues, and determining when matters require escalation is required. Demonstrated experience working collaboratively with multiple levels of leadership, staff, and internal and external partners and handling confidential or sensitive information is required. Experience contributing to process improvement or program development is required. Experience within a university, medical education, residency training, or healthcare environment and knowledge of the University of Saskatchewan, College of Medicine, and Saskatchewan healthcare environment are considered assets. Experience working effectively in a diverse and inclusive environment is required.
Skills: Strong organizational, interpersonal, communication, analytical, problem-solving, and decision-making skills are required. Demonstrated ability to coordinate work across multiple priorities and contributors, provide functional direction, communicate requirements and timelines, follow up on deliverables, and appropriately escalate unresolved issues. The successful candidate will demonstrate initiative, sound judgment, discretion, adaptability, attention to detail, and the ability to work independently while maintaining effective collaborative relationships. Ability to identify opportunities for process improvement and support implementation of consistent administrative practices is required. Proficiency with Microsoft 365 and the ability to learn administrative and educational information systems is required.
