Job Description

Reserve conference rooms and coordinate services for groups and organizations holding meetings, conventions and other events on hotel/casino grounds. Organize banquet or catering services, reserve audio visual equipment and plan any changes to the configuration of the event space.

  • Assists group meeting planner in design of menus, recreation and entertainment based on group budget.
  • Accountable for the successful and coordination of all requirements of a group.
  • Acts as a hotel contact to the group meeting planner to ensure maximum efficiency of the property and group satisfaction.
  • Writes and distributes resumes detailing requirements to the appropriate department.
  • Solicits and books catering only business as well as groups with a limited number of hotel rooms.
  • Greets meeting planner upon arrival on property to ensure smooth check-in for groups.
  • Conducts exit interviews and request re-books.
  • Communicates any group challenges to the appropriate staff member.
  • Compiles all cancellation/attrition charges of groups.
  • Reviews meeting space allocation to maximize revenue.
  • Acts as a liaison between the sales and operations department of the hotel to ensure a successful event for the clients and all of the client’s needs are met and communicated accurately and efficiently to all departments of the hotel.
  • Compiles all Banquet Event Orders and group resumes for above groups.
  • Coordinates all audiovisual requirements of the client and ensures that proper equipment is ordered.
  • Greets all clients as they arrive at the hotel to ensure that they have all required items.
  • Participates in weekly sales meetings and operations meetings to communicate the upcoming group’s needs.
  • Performs other job-related duties as assigned.


SUPERVISORY/MANAGEMENT AUTHORITY

  • Lead and/or guide the work of other employees.

EDUCATION AND EXPERIENCE

Bachelor’s degree or equivalent years worked in related field. 3 years’ experience in group/event planning and/related sales at a facility close to 35,000 square feet and 400 hotel rooms.


KNOWLEDGE, SKILLS AND ABILITIES

  • Must have working knowledge of Microsoft Office.
  • Must be able to apply, receive and maintain an Oklahoma Gaming License, Oklahoma Liquor License and an Oklahoma Health Card.
  • Excellent oral and written communication skills.
  • Excellent customer service skills.
  • Excellent problem-solving skills
  • Ability to work weekends.
  • Must possess management skills
  • Must possess a high level of attention to detail


WORK ENVIRONMENT

Work involves some exposure to physical risks such as traveling across slick, wet surfaces in the back of the house. Involves physical strains such as walking or standing for extended periods of time. Work will involve mental and visual efforts due to the nature of job. Work is generally performed in a climate-controlled environment but may involve exposure to crowd noise and smoke.
