This role is responsible for managing contract administration, pricing and rebate processes, distributor coordination, and tender support across the APAC region. This role acts as a key liaison between Sales, Marketing, Finance, and external partners, ensuring accuracy, compliance, and timely execution of commercial activities.
Key Responsibilities
1. Contract Management
Prepare, draft, and amend contracts using approved templates based on internal requests
Coordinate contract reviews by acting as liaison between the Sales team and CFO for legal and commercial approval
Track contract status, flag required reviews, and ensure timely completion
Maintain accurate contract records and upload documentation into HubSpot CRM
Manage external registration platforms (e.g., compliance and certification portals such as Smartek)
Ensure all supporting paperwork and compliance documents are complete and up to date
2. Pricing & Rebates
Manage and maintain APAC pricing lists for customers and distributors
Prepare and distribute pricing and rebate templates to distributors
Ensure all pricing updates are communicated and successfully implemented
Validate rebate claims against approved templates and agreements
Support the preparation of pricing documentation for customer reviews and tenders
Maintain GP (gross profit) calculators with updated cost of goods (COGs)
Generate rebate calculation reports for customers within specified timeframes
Update pricing and rebate documentation when distributor codes or structures change
3. Distributor Management
Coordinate onboarding of new products with distributors, including submission of required documentation
Maintain accurate and up-to-date product listings and artwork on distributor platforms
Manage distributor codes and ensure availability and accuracy for the Sales team
Act as a key point of contact for distributor-related administrative requirements
4. Tender Management
Lead and coordinate the end-to-end tender process in collaboration with Sales leads
Allocate responsibilities across internal teams to ensure timely submission
Support data collection, reporting, and documentation for tender responses
Work closely with Sales Analysts to prepare and validate quarterly tender reports
Ensure all submissions meet deadlines and include appropriate stakeholders
Optional / Value-Add Responsibilities
Business Review & Reporting Support
Prepare business review presentations and supporting materials for Sales teams
Generate customer compliance reports and performance insights
Collaborate with Sales Analysts to resolve reporting discrepancies
Compile customer activity data (e.g., education records, visit reports)
Produce ad hoc reports tailored to customer requirements
Validate internal sales data against distributor-reported figures
Data & CRM Maintenance
Maintain accurate customer and account data within HubSpot CRM
Update accounts, parent accounts, and key fields
Support continuous improvement of CRM data structure (e.g., adding channels, sub-areas etc)
Key Skills & Experience
Experience in contract administration, pricing, or commercial operations
Strong attention to detail and ability to manage high volumes of data
Advanced Excel skills (pricing models, rebate calculations, reporting)
Experience with CRM systems (preferably HubSpot CRM or similar)
Ability to coordinate across multiple stakeholders (Sales, Finance, external partners)
Strong organisational and time management skills
Experience working with distributors or within APAC markets (preferred)

Contract documentations are accurate, compliant, processed efficiently and kept up-to-date with KPI reporting, pricing reviews
Pricing and rebate processes run smoothly with minimal errors
Distributors receive timely, accurate information and maintain updated systems and new product lines added seamlessly
Tenders are delivered on time with consistent high-quality submissions
CRM and data systems remain clean, reliable, and actionable
