Rogers Group is currently seeking a Contracts Administrator in the Staunton, VA area. This position will report directly to the Division Controller. The successful candidate for this role will provide administrative and operational support for the area.
Job Responsibilities:
- Distribute, receive, and maintain subcontractor documentation including contracts, insurance certificates, and bonds.
- Set up subcontractor purchase orders (P.O.s).
- Create and maintain project quotes within Truck Scale systems.
- Assign work order job numbers for projects and service work.
- Request and establish major construction job numbers.
- Create and maintain project folders and documentation within SharePoint.
- Ensure project records are organized, accurate, and accessible.
- Enter estimates and billings into Oracle.
- Process receiving against subcontractor purchase orders.
- Ensure production and quantity information is entered accurately into HCSS.
- Reconcile Truck Scale quantities with HCSS records.
- Investigate and resolve discrepancies between systems.
- Provide backup support for Aggregate Scale operations at Staunton, Flatrock, and Broadway locations.
- Assist with administrative tasks related to materials production and sales operations.
- Support project managers, estimators, and operations personnel as needed.
Qualifications:
- Associate degree in Business Administration, Construction Management, Accounting, or related field preferred.
- Equivalent combination of education and experience may be considered.
- 2+ years of administrative experience in construction, contracting, project administration, accounting, or related field preferred.
- Experience with subcontract administration, purchase orders, billing, and project documentation preferred.
- Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and SharePoint.
- Experience with ERP/accounting systems such as Oracle preferred.
- Experience with HCSS, Truck Scale, or construction management software preferred.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple projects and deadlines simultaneously.
- Strong verbal and written communication skills.
- Ability to work effectively with project managers, accounting personnel, subcontractors, and operations staff.
