SUMMARY
Responsible for day-to-day workflow processing including contract review, data entry and coordination of processes; Serves as a liaison with agents and carriers and as the coordination center for incomplete contracts.
Processes contracts through the Zoho CRM system including posting notes to the system, sending emails with outstanding items for follow up and processing.
Reaches out to agents and uplines to collect outstanding/incomplete data and reconnects the original contract with the incomplete items so the contract can be returned to production cycle.
Reviews and explains carrier communications to agents.
Processes state appointments, product additions, commission level and hierarchy changes.
Assists Contracting Associate I and Contracting Associate II positions with processing new contracts when necessary.
Communicates with internal management and external carrier management.
Maintains working knowledge of all carriers being processed within the team.
Acts on behalf of the Contracting Manager during absences.
Identifies global issues and communicates ideas for resolution.
Establishes and maintains a high-level overview of the organization’s functions and administration influences.
Works collaboratively with fellow staff to advance the values and mission of the organization by serving on relevant internal and external committees; Assists with special projects/assignments as requested by members of management.
Provides support for Basic Help Desk and technical troubleshooting for Zoho and custom coding automations.
EDUCATION / EXPERIENCE
High School Diploma or GED
Three (3) or more years general insurance industry or related field (financial services, marketing, business-to-business customer service or call center) experience
Working knowledge of insurance services industries.
Knowledge of the general industry procedures, practices and terminology.
Knowledge of insurance product lines.
Working knowledge of administrative support functions for the Contracting Associate I and Contracting Associate II positions.
Skill in identifying and resolving complex problems.
Skill in working effectively with other company departments, internal marketing staff, home office personnel and agents.
Skill in negotiating and problem solving to resolve internal and external conflicts independently and consistently.
Skill in the use of office equipment including computer, fax, printer, scanner, telephone system, etc.
Skill in maintaining effective working relationships with all customers, employees and the general public.
Proficient computer skills (Microsoft Suite, MS Outlook software preferred).
Ability to make, execute and communicate decisions made with supervisor.
Ability to prioritize and manage urgent requests.
Ability to communicate effectively, both orally and in writing, in a constructive manner.
Ability to approach and communicate with a wide range of personalities in a professional and courteous manner.
