Job

The Cook Chill Food Production Center is located on the grounds of the Maplehurst Correctional Facility; however, Cook Chill operates as an independent production facility and is separate from Maplehurst Corrections. There are no inmates on site at any time. Civeo Premium associates do not have any interaction with, nor access to, inmates.

We are seeking a Contract Manager as the primary administrative and contractual liaison between the organization, Ministry stakeholders, and internal departments. This position is responsible for ensuring all contractual, compliance, reporting, and documentation requirements are met accurately, consistently, and in accordance with Ministry agreements, regulatory standards, and company policies.

Reporting to the General Manager and Director of Food Services, the Contract Manager provides highlevel administrative and governance support, oversees Ministry reporting and operational documentation, and supports performance management and continuous improvement initiatives. The role requires strong attention to detail, excellent written communication skills, and the ability to manage multiple priorities in a regulated, fastpaced environment.

The Contract Manager also provides leadership oversight of the Administration function, ensuring continuity of operations and professional frontline representation of CCFPC. This role is well suited to a highly organized, ethical, and collaborative professional who thrives in compliancedriven environments and values accuracy, accountability, and strong stakeholder relationships.

Responsibilities

  • Serve as the primary administrative and contractual liaison between CCFPC, Ministry stakeholders, and internal departments

  • Ensure compliance with all contractual obligations, Ministry agreements, regulatory requirements, and company policies

  • Prepare, manage, and submit all mandatory Ministry reports accurately and within required timelines

  • Provide highlevel administrative, documentation, and compliance support to the General Manager and Director of Food Services

  • Maintain, update, and control all operational manuals, policies, records, and key inventories with proper version control

  • Coordinate and prepare materials for Ministry, financial, and operational meetings; record accurate and professional meeting minutes

  • Enforce health and safety requirements, including WHMIS and Occupational Health & Safety standards, and support incident reporting

  • Act as a central point of communication with Ministry representatives, suppliers, and Civeo Head Office

  • Support recruitment, onboarding, training, and maintenance of compliant employee documentation

  • Provide leadership oversight of the Administration function, including supervision of the Administrator and coverage during absences

  • Organize and support Performance Management Committee meetings and continuous improvement initiatives

  • Perform additional related duties as assigned.

Qualifications

  • Post‑secondary education (College or University degree) or an equivalent combination of education and experience

  • Advanced Food Safety Training (FST) certification

  • Demonstrated experience in administrative, contracts, or compliance‑focused roles within a regulated environment

  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook

  • Strong organizational and time‑management skills with the ability to manage multiple priorities and deadlines

  • Exceptional attention to detail and a high degree of accuracy in documentation and reporting

  • Excellent written and verbal English communication skills

  • Proven ability to work independently, exercise sound judgment, and take initiative

  • Ability to coordinate activities involving multiple stakeholders and departments

  • Demonstrated flexibility and adaptability in response to changing priorities and operational requirements

  • Positive, professional attitude with a strong customer‑service mindset

  • Ability to work collaboratively as part of a team while maintaining accountability for individual responsibilities

  • High level of integrity, professionalism, and discretion when handling confidential information

  • Successful completion of a vulnerable sector check, criminal record check, and any other required security clearances
