Job Description

The Continuous Improvement (CI) Coordinator supports the CI team in organizing, tracking, and documenting process improvement initiatives, change requests entering through the project Discovery phase, and participating in business requirement sessions across the enterprise. This role plays a key part in coordinating project activities, maintaining documentation, collecting data, preparing reports, and ensuring effective communication among project stakeholders. The CI Coordinator partners closely with the Continuous Improvement Team and business leaders to support activities that make banking easier for customers and teammates.

This position requires strong organizational skills, attention to detail, skillful facilitation of Discovery kick-off calls, and the ability to manage multiple tasks in a fast-paced environment. To be successful, the Coordinator must be an effective communicator with foundational business analysis and project support capabilities.

Duties/Responsibilities:

Continuous Improvement Support

  • Coordinate meetings, workshops, and working sessions for CI initiatives.
  • Maintain schedules, action items, risk/issues logs, and follow-up documentation on CI initiatives.
  • Assist with preparing agendas, notes, and summaries for CI initiatives.
  • Maintain process documentation including Standard Operating Procedures (SOP), process maps, and standard work.
  • Update shared repositories (SharePoint/Teams) with version-controlled project artifacts.
  • Support small-scale CI tasks such as gathering data, documenting current-state workflows, and creating basic process visuals under the guidance of the Process Manager and Process Engineers.

Discovery Process Coordinator

  • Performs initial intake triage, validating request completeness, scope clarity, and required documentation.
  • Schedules and coordinates Discovery sessions with requestors, impacted stakeholders, CI team members, and SMEs.
  • Documents Discovery findings including current-state pain points, scope boundaries, risks, dependencies, and assumptions.
  • Maintains a Discovery tracker (intake log, statuses, milestones, and outcomes).
  • Ensures timely follow-up with requestors and stakeholders to close information gaps.
  • Prepares Discovery summaries for the PMO, CI Team, and BTO to support evaluation and prioritization.
  • Monitors SLAs for intake and routing, escalating delays or missing inputs as needed.
  • Coordinates communication updates to requestors regarding progress, decisions, and next steps.

Data, reporting & Communication

  • Gather data for basic analysis used in CI or Discovery assessments.
  • Draft reports, dashboards, or PowerPoint materials summarizing project statuses or discovery outputs.
  • Track KPIs related to intake volume, cycle time, and throughput.
  • Support communication planning and stakeholder updates across CI and Change Governance.

Required Skills/Abilities:

  • Strong organization and time management skills.
  • Excellent documentation accuracy and attention to detail.
  • Skilled in coordinating meetings, managing logistics, and maintaining trackers.
  • Ability to collect, summarize, and present information clearly.
  • Basic analytical skills; comfortable with Excel or similar tools.
  • Strong written and verbal communication with a collaborative approach.
  • Ability to work in a fast-paced environment with shifting priorities.
  • Curiosity and willingness to learn CI tools, process mapping, and governance concepts.

Education & Experience

  • 5+ years of experience in process optimization, project coordination, administrative support, or operations.
  • Exposure to continuous improvement, project management, or governance frameworks is helpful but not required.
  • Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Teams); SharePoint experience preferred.
  • Forward-thinking and adaptable to dynamic situations
  • Excellent interpersonal, leadership, and communication skills

Salary offered will be based on several factors including but not limited to education, work experience, certifications, etc. Th is position is also eligible to participate in either an applicable incentive compensation plan for the position or a discretionary profit sharing bonus program.
