Job Description

The Contents Project Manager oversees the execution and coordination of all contents-related restoration projects, from pack out to cleaning and delivery. This role ensures workflow efficiency, customer satisfaction, and compliance with job file standards while managing communications between clients, internal teams, subcontractors, and insurance representatives.
Responsibilities:
• Reports to the Contents Manager for job related items.
• Works with the Contents Manager & Coordinator to facilitate production, and scheduling.
• Manages Projects directly & oversees all field team members and flow of production (Pack Out, Cleaning, Pack Back, Deliveries, etc.)
• Makes sure that files are up to date and noted weekly with hold ups, next steps, etc.
• Tasks should be used to show next steps in the file and when a follow up is expected to be completed – Coordinator to review and confirm a task is in every file.
• Responsible for staying in contact with insureds & referral sources while waiting for approvals and to confirm a start date – If needed, they can task the coordinator to follow up on their behalf.
• Handles communications with adjuster: getting approvals (pack out, cleaning, sub-contractors, etc.), sharing information regarding scope of work, sharing reports, clarification/justification on production, problem solving (damage control, scheduling, etc.)
• Responsible for confirming a start date with Contents Manager along with Coordinator and relaying the information to the insured/referral source. – When necessary Director & Coordinator will assist if PM requests
• Responsible for reviewing the Pack Out Tick Sheet, Pack Back Tick Sheet, and Delivery Tick Sheet created by Coordinator.
• Monitor onsite job progress, oversees multiple sites by performing site-visits and to communicate with the Foreman & Office
• Responsible for creating the Cleaning Tick Sheet once the Pack Out has been completed and tasking Coordinator to review and keep up to date.
• Responsible for making sure the team has all materials needed and delivering missed or forgotten materials to job sites.
• Responsible to task any follow ups needed by Director, Foreman, Techs, Coordinator
• Manages and confirms all compliance and job tasks are complete for claim.
• File compliance in DASH, XA, and Contents Track. Confirms details with Foremen to correct and push reports through when review complete.
• Manages customer communications and expectations, including but not limited to customer service, damage control, reports (email completed reports once pack out is complete), questions regarding policy, etc.
• Updates and Confirm schedules with customers after speaking with Coordinator/PRM.
• Subcontractors:
• Schedule dumpster drop-off and pick-up & task Coordinator to send Work Order
• Schedule and provide project information to vendors
• Confirms vendors dates are added to the calendar and noted.
• Confirms approved vendors have been added to DASH and the Customer file in the Drive.
• Confirms insured is aware of which vendors will be used and know to expect their phone calls.
• Once production vendors is completed, PM to request estimates/invoices from Vendors.
• Task Coordinator to follow up and confirm that vendors send requested estimate/invoices, and it is uploaded to the Drive.
• If needed, they can task the coordinator to follow up on their behalf.
• For Large Loss or Intricate Jobs PM should meet vendors onsite to walk them through the claim and make sure they remove all requested items successfully
• Authorized to update Warehouse Board and Warehouse Map on the computer, must note in DASH as well.
• Generates completed customer & TL reports to send to insured.
• Writes Contents Estimates and gets the file ready for the Estimator/Auditor to review and submit to the carrier
• Handles training or overseeing of training for all field team members.
Qualifications:
• Relevant experience in emergency restoration and Personal Property (required)
• Sales experience (required)
• Excellent verbal, written, and presentation skills (required)
• Full time position
• IICRC certifications, including but not limited to CPT, WTR, ASD, AMRT, FSRT
• Ability to work independently and multitask in a busy environment.
• High School Diploma, GED or equivalent.
• Strong management, delegation, planning and leadership skills.
• Must have Valid Drivers' License
• Must pass background check
• Able to lift a minimum of 50lbs
• Use estimating software's like Xactimate
• Frequent walking, standing, bending, and twisting
• Clean shave face for use of respirator per OSHA regulations
• Working in tight or confined spaces
