
Scope of Work Website Revamp & Integration
1.Background / Latar Belakang
Save the Children Indonesia (SCIDN) is currently undertaking a digital transformation initiative to strengthen its digital ecosystem, improve user experience, and support the long-term growth of communications and digital fundraising.
SCIDN currently operates two main digital platforms with different systems and functions: the main website, savethechildren.or.id, which serves as the organization’s communication and branding platform, and support.savethechildren.or.id, which functions as the donation and fundraising platform, including membership features for Komunitas Pahlawan Anak (KPA).
Both platforms currently use different CMS and backend systems, including a legacy framework for the fundraising platform. As organizational needs continue to grow, this structure creates challenges in user experience, data integration, website management, scalability, and long-term system development.
To support the planned website revamp and system migration, close coordination is required between the Growth Marketing team, IT team, and external vendors. Given the technical complexity of the project and limited internal technical capacity, Save the Children Indonesia seeks to engage an External Collaborator (EC) to provide technical support, facilitate cross-functional coordination, and help ensure smooth and effective project implementation.
Objective of the Assignment / Tujuan Penugasan
The main objective of engaging the External Collaborator (EC) is to provide technical and operational support for the website revamp and digital system migration of Save the Children Indonesia in order to support the development of a more integrated, scalable, secure, and optimized digital ecosystem from both user experience and digital fundraising perspectives.
The EC will contribute to ensuring that the planning, coordination, development, and implementation processes are carried out effectively through close collaboration with the Growth Marketing team, internal IT team, and development vendors, ensuring that all deliverables are achieved in line with organizational needs, technical standards, and the agreed project timeline.
2. Scope of Work / Lingkup Tugas dan Tanggung Jawab
Project Coordination
Support the Growth Marketing Manager in managing the website revamp and digital system migration project.
Develop and monitor project timelines, milestones, dependencies, and implementation progress.
Ensure project execution aligns with the TOR, scope of work, and agreed timeline.
Identify potential risks, delays, and implementation issues, and provide mitigation recommendations.
Vendor & Stakeholder Coordination
Act as the main liaison between vendors/agencies, Growth Marketing, IT/TDU, and internal stakeholders.
Ensure vendor deliverables align with business needs, user journey, fundraising objectives, and technical standards.
User Journey & Conversion Optimization
Support the development of end-to-end user journeys from awareness to donation.
Provide input on UX, conversion flow, landing pages, and donor experience optimization.
System Integration & Data Flow Support
Support coordination of integrations across CMS, backend, CRM (Salesforce), payment gateway, and analytics tools.
Ensure accurate donor and transaction data synchronization and smooth API/data flow implementation.
Tracking, Analytics & Performance Monitoring
Support implementation and validation of digital tracking tools, including GA4, GTM, Meta Pixel, and server-side tracking.
Ensure key conversion and payment events are properly tracked.
Support development of performance monitoring dashboards for marketing and fundraising teams.
QA, UAT & Launch Support
Support QA testing coordination with vendors and internal teams.
Facilitate UAT and validate system readiness prior to launch.
Support soft launch and full deployment activities.
Content & Data Migration Support
Support content and data migration from existing platforms to the new system.
Ensure content consistency, SEO integrity, and data security during migration.
Help minimize data loss and operational disruption risks.
Documentation & Sustainability
Ensure vendors provide complete technical documentation, SOPs, and CMS guidelines.
Support internal team readiness for post-launch website operations.
Provide recommendations for long-term website governance and sustainability.
Reporting & Strategic Support
Provide regular project updates to the Growth Marketing Manager.
Maintain risk logs, meeting notes, action trackers, and implementation recommendations.
Compliance & Alignment
Ensure all processes and deliverables align with Save the Children’s values, policies, child safeguarding, data protection, and organizational compliance standards.
3.Reporting Requirement:
Provide periodic project progress updates in accordance with the agreed work plan and timeline.
Prepare and submit implementation progress reports, including work status, milestone achievements, risks, and issues requiring follow-up.
Maintain and submit project coordination documentation, including meeting notes, action trackers, and recommendations for next steps.
Submit QA/UAT results, tracking validation updates, and launch readiness reports as required throughout the project implementation.
Submit all deliverables in soft copy format (Word/PDF/PPT) as well as editable formats as required by Save the Children Indonesia.
Prepare and submit a final report summarizing completed work, implementation outcomes, lessons learned, and post-project recommendations to the supervisor at the end of the contract period.
4. Required Qualifications and Experience / Kualifikasi yang Dibutuhkan
Bachelor’s degree in Digital Media, Information Systems, Computer Science, or a related field.
Minimum 3–5 years of professional experience in digital project management, web/digital execution, product support, or related areas.
Experience in website revamp projects, CMS implementation, digital platform development, or system migration initiatives.
Experience working with vendors/agencies in digital development projects.
Basic understanding of website architecture, CMS platforms, frontend-backend flow, API integration, and digital ecosystems.
Familiarity with digital analytics tools such as Google Analytics 4 (GA4), Google Tag Manager (GTM), Meta Pixel, or similar tools.
Strong cross-functional coordination skills across business, marketing, and technical teams.
