Scope of Work Facilitator for KREASI Team Building

Background

Kolaborasi untuk Edukasi Anak Indonesia (KREASI), or Collaboration for the Education of Indonesian Children, is a programme designed to accelerate the improvement of literacy, numeracy, and character education for Indonesian preschool and primary school students in 8 districts across 4 provinces in Indonesia. The program has been developed together with the Ministry of Primary and Secondary Education (MoPSE) and Ministry of Religious Affairs (MoRA) through Save the Children with partners in the collaborative consortium Mitra Pendidikan Indonesia (MPI). KREASI is funded by the Global Partnership for Education (GPE) through the Multiplier Grant allocated for Indonesia.

As the KREASI Program continues to grow and expand its activities, effective teamwork is increasingly critical to achieving organizational goals. As the KREASI full team just established in early Year 2 of KREASI program implementation with its partners, it is a time to improve communication and coordination within KREASI team members. A strong coordination, clear communication, trust, and collaboration among employees are essential to ensuring operational excellence and fostering a positive work environment. These elements are vital not only within the internal team but also in interactions with external partners and stakeholders. This effort is critical to build stronger team for Year 3 program implementation.

The organization recognizes that high-performing teams are built not only through technical competencies but also through strong interpersonal relationships, mutual trust, shared values, and a common understanding of organizational culture. Therefore, a Team Building Program is proposed to provide opportunities for employees to strengthen relationships, enhance collaboration, improve communication, and reinforce the organization's culture and values.

This program will gather approximately 60 employees of KREASI Program to participate in structured team-building activities designed to foster engagement, teamwork, and organizational alignment. Because each team member already plays a role in the team, it is important to have objective facilitation by experts in leadership, group and organizational dynamics, and teambuilding methods.

Objectives of the Assignment

This consultancy will support the KREASI team to achieve the overall objective of this assignment is to contribute to a strong team spirit in KREASI Program. This team spirit will then translate into highly productive teams that deliver results for children.

Scope of Work

The Consultant is expected to perform the following key tasks:

1.Facilitate a retreat for approximately 60 staff

The staff retreat could be a multi-day event outside of Jakarta. Participants will include staff of various levels, from Officers to Chief of Party.

1. Meet with the retreat planning team to determine the overall objectives of the retreat
2. Propose an agenda with specific team building activities for review/approval
3. Facilitate the retreat, providing all materials, tools, etc.
4. Administer a satisfaction survey to determine the effectiveness of the retreat and the opinions of participants about the retreat.
5. Deliver a report summarizing the activities, impressions and observations of the facilitators, and recommendations for KREASI management and staff.

2.Develop training materials and facilitate the workshop during the retreat. The content will focus on improving internal communication among different KREASI division and improving external communication with KREASI partners. The exercise will also aimed to strengthen collaboration among the team, partners, and stakeholders, emphasizing effective communication and building trust. The training is intended for KREASI staff at all levels.

3.Final Reporting

Prepare a final summary of the following:

• Activities conducted under this consultancy
• Key observations from the Team Building implementation and provide recommendation

Reporting Line and Coordination

• Direct Supervisor: Committee Team
• Reporting Requirements:
• In the first week of the assignment, the External Collaborator must meet regularly with the Direct Supervisor to finalize the Training Plan.
• Subsequently, the External Collaborator is expected to meet with the Direct Supervisor weekly to discus on the agenda and training material.
• Documents related to this consultancy must be stored in a Google drive that is accessible to both Save the Children and the External Collaborator.

Submission of final deliverables will be in soft copy (Word, PPT).

Required Qualifications and Experience

The following minimum requirements are necessary for a successful bid:

(i) Individu/consortium of legal entities;

(ii) At least 5 years of demonstrated experience of facilitating team retreats, individual coaching, and administering psychometric assessments.

Note:

The External Collaborator should propose additional team members with complementary expertise to support the delivery of the assignment, as the level of effort (LoE) outlined above is designed for at least four team members. The roles, qualifications, and level of effort of the proposed team members should be clearly described in the proposal.
