This position will be for an expert at the clerical construction management responsibilities, to include all submittal logs, RFP/RFQ logs, calling vendors, ordering, creating documents, word processing, scheduling, managing Primavera, Oracle, and Procore. You must be experienced in all aspects, and you must be extremely diligent in your work; mistakes cannot be made.
You must be organized and persistent; this position is only for the right person who is experienced and understands this type of work as it relates to successfully managing a commercial construction project.
You must speak excellent English and be comfortable making phone calls, managing a contacts list, seeking out new vendors using search engines and other services, and managing relationships with vendors. You must be extremely organized and be able to work independently to manage projects and work on the different aspects of administration, purchasing, and management from bidding to completion.
Our firm is looking for a construction project manager with a preferred engineering or architecture background, preferably with experience working for USA-based firms. Having experience working for a government or public works contractor is a huge plus in the USA.
Our firm is based in New Jersey, USA. We are a general contractor specializing in government contracts, specialty work, and engineering.
We are interested in hiring a project manager to assist with a variety of critical tasks in a full-time capacity.
You should be willing to do general administration tasks in addition to the day-to-day work required as an engineering project manager and estimator.
Job Responsibilities:
Estimating and takeoffs
Drafting in CAD
Sending RFQ's and RFP's to vendors and subs, and calling them to request pricing and follow up before deadlines
Using online platforms to solicit bids from vendors
Working independently to determine where to get pricing for different specialty items, and then working diligently to obtain the best prices
Submittal preparation and data sheet management
Project Schedules
Budget Analysis
Ordering and material quantity takeoffs
Writing Safety Plans and other internal documentation, such as the employee handbook
Preparing change order letters and other documents as needed, placing them on letterhead, and creating PDF's
Staying organized and filing everything, managing Google Drive, and emails
Other general administrative and VA tasks
Monitoring databases for construction leads, requesting bid packages, and ordering them after approval
Analysis of historic bid pricing and price database compilation
Accounts payable organization and management
Preparing close-out document folders digitally for printing with cover sheets at project completion
Filling out forms
Workers' compensation audits analyzing employee payroll and working with the executive to present the audit
Creating certified payroll reports per requirements
Filling out bid forms as needed
All other related tasks to enable successful operation of the company
Filling out forms for licenses and pre-qualifications
Requirements:
Must speak excellent English
Must be EXCELLENT at technical reading and writing in English
Must be able to read all blueprints in detail and understand them at an expert level
Must be comfortable interpreting specifications
Takeoffs must be precise and must be able to get down to actual material quantities (not mandatory)
Must be patient, quick thinking, organized, good at working under pressure, good at managing tasks and deadlines
Must be able to work independently with little direction or oversight, you should be able to take a set of plans, determine what needs pricing, create schedules, submittals, manage submittal logs, request pricing from vendors and subs, etc all without oversight
