Accounts Payable Administrative Assistant, – Revelstoke Construction Projects
Reporting to the Site Superintendent, the Site Data Entry Person is responsible for assisting with the preparation of the material and construction procurement documents and managing the Expenses, Purchase Orders, Quotes and Packing Slip System for the site.
Your responsibilities will include, but not be solely limited to:
• Maintain strong relationships with consultants, contractors and trades, and our home office support staff to maximize efficiency.
• Keep the purchase order system properly filed and up to date to ensure our home office support staff can process and track all invoices.
• Prepare & Review of Contractor Invoices, Site Expenses & submit to Home Office
• Follow-up on supplier invoices with home office payables staff when required.
• Collect timesheets of contractors daily and submit invoices for payment.
• Respond to all e-mail correspondence in a timely fashion.
• Perform general administrative and recordkeeping functions.
• Ensure site office is kept in a clean, tidy manner.
• Other administrative duties as required.
Skills Required
• Ability to type and distribute correspondence via email, regular mail, courier, etc.
• Computer proficiency with exposure to full MS office suite, with specialized computer equipment, scanner, fax, copiers and digital camera.
• Excellent communication and organizational skills.
• Analytical and problem-solving skills; ability to juggle multiple deadlines; attention to detail and high level of accuracy.
• Good command of the English language, both written and spoken.
