Position Title: Constituent Services and Correspondence Specialist

FLSA: Exempt

of Functions: This position serves as the Constituent Services and Correspondence Specialist for the Governor’s Office of Internal Operations and is responsible for supporting the Deputy Director of Community Engagement and the Deputy Chief of Staff, to support the Governor’s Constituent Services and Correspondence Office. This position works closely with policy and operations staff within the Governor’s Office, as well as with all State Agency Advocates to help provide both access and easy navigation for all Coloradans.

Essential Duties and Responsibilities:

Constituent Services and Correspondence:

  • Provide methodology and execution of constituent concern intake and response by phone, written correspondence, or in-person; determines jurisdiction of all casework.

  • Oversee correspondence program--including, but not limited to, drafting proclamations, congratulatory letters, letters of recognition, welcome letters, retirement letters, signature requests between Colorado State Departments, and flags.

  • Oversee and execute the Executive Internship Program and the Constituent Services Internship Program for the Office of the Governor.

  • Responsible for maintaining thorough records of all official communication from the office to stakeholders at the local, state and federal level.

  • Coordinate Agency Advocate communication on resolution of casework and manages concerns and issues with the Agency Advocates.

  • Coordinate with Governor’s and agency staff to ensure external and internal communications are accurate, consistent, and conform to state brand and office style guide, including copyediting all outgoing products.

  • Track and report weekly, monthly and yearly on constituent contacts.

  • Manage application of the Salesforce Constituent Services System, Salesforce Correspondence System and the Salesforce Internship System in day-to-day activities.

  • Custodian of Governor’s letterhead and signature for internal and external use.

  • In coordination with the Deputy Press Secretaries, serve as office lead for identifying, processing, and executing casualty assistance programs for fallen military and public safety personnel.

  • Monitor media reports, coordinate flag status and presentation, liaise with local, state, and federal partners, and arrange other honorific services so the Administration can provide support and consolation to families in need.

  • Ensure all external and internal Governor’s Office communications are following WCAG accessibility standards.

Administrative Support for the Deputy Director of Community Engagement:

  • Assists the Deputy Director of Community Engagement in coordinating meetings and special events.

  • Scheduling meetings with community leaders in targeted constituency groups.

  • Responsible for all operations in the Governor’s Constituent Services and Correspondence Office, including hiring and managing interns, processing and prioritizing casework, creating and implementing policies, procedures, and systems to optimize workflow and to ensure high-quality customer service for every Constituent.

  • Research and stay up to date on Colorado Revised Statutes and application to concerns and issues.

  • Serve as Office representative to communities around the state through meetings, events and locations as needed.

  • Special projects as needed.

Organizational Relationships: This position directly reports to the Deputy Director of Community Engagement.

Qualifications

Minimal Qualifications:

  • Minimum two years experience in constituent outreach, casework management, volunteer management, community engagement relations, project management, community organizing or other related areas.

  • Project management skills: ability to multitask, problem-solve, prioritize, delegate, and to create systems and processes.

  • Ability to work in a fast-paced environment and juggle multiple priorities, and able to react and adjust quickly to changing conditions.

  • Excellent communication skills; able to communicate effectively and articulately in writing and orally.

  • Works well under pressure.

  • Strong relationship management skills with community interactions.

  • Experience in and/or working with diverse constituencies and communities of color desired.

  • Additional language skills desired but not required.


Conditions of employment: Must be currently working in the Office of Internal Operations, Constituent Services and Correspondence.
