The Conflicts Manager, Matter Openings helps oversee the intake/ matter openings workflow ensuring high-quality, accurate and timely processing of opening of new matters. Additionally, this Manager will assist with the coordination of various projects related to the opening of Pro Bono matters, lateral attorney matters and large-scale projects that involve opening of matters in mass and the maintenance of the firm’s conflicts database.
Key Responsibilities
Assists the firm’s Pro Bono Shareholder with the intake and conflicts processes and procedures regarding the opening of pro bono matters
Works collaboratively with the team’s Lateral Hiring team to facilitate the opening of new lateral hire client matters
Audits the opening of lateral hire client matters and liaises with the records team regarding information needed to effectuate transfer of such records
Assists team with the regular closing of client accounts with no open matters and no matter activity
Reviews Conflicts Database to ensure dormant client and matters are closed in accordance with Office of Firm Counsel guidelines
Assists GC Systems team with the closing of matters due to transfer or disengagement
Supervises Matter Openings Coordinators and Specialists to ensure efficiency and accuracy regarding overall intake process concerning opening of matters for laterals and pro bono department
Assists with training of intake team members regarding KYC (know your client), AML (anti-money laundering), CDD (client due diligence) research as well as trains and assists with questions from staff outside of the United States regarding related software
Oversees the training and integration of new hire Matter Openings team members to learn applicable intake firm software, e.g., Intapp, Aderant, related KYC/ AML/ CDD software, related accounting software and applications, etc.
Assists in training newly onboarded New Business team members to ensure proper understanding of intake workflow
Supports internal clients (i.e., LSSs and Attorneys) with questions related to the department and its process and procedures
Audits various department intake processes to ensure accuracy
Consults with Senior Intake Manager and Chief Client Intake Officer, as necessary, to receive guidance on issues encountered to include, but not limited to, KYC/ AML / CDD searching, potential errors related to opening matters, and other tasks associated with the Matter Openings process
Reviews and approves timecards and time off requests for Coordinators and Specialists,
Maintains expertise in intake-related systems and recommend and assist in implementation of process enhancements to improve efficiency and accuracy
Prepares and disseminates daily department memorandums
Assists with other projects and tasks as assigned

Education & Prior Experience
Bachelor’s degree required
Previous intake and / or conflicts experience or comparable experience as a paralegal, legal assistant or other comparable position consisting of analytical reasoning or researching skills , preferred
Previous experience supervising others
Technology
Prior conflicts and / or accounting database software experience (i.e. Intapp, Elite, Aderant, etc.)
Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook
Exceptional computer skills with the ability to learn new software applications quickly
