About the Role
As the Concierge, you will serve as the central point of contact for daily office operations, seamlessly blending front-of-house hospitality with practical facilities coordination.
You will be the welcoming face of the Ford National Sales Company (NSC) office—managing visitor relations, reception, and on-site security check-ins. Beyond hosting our guests, you will keep our workspace running smoothly by coordinating cleaning and maintenance contractors, managing office and kitchen supplies, and handling key administrative tasks such as processing purchase orders (POs) and reconciling office expenses.
Reporting directly to the Executive Assistant, this role is based at our National Sales Company office in Richmond, Victoria, with a requirement to work five days on-site.
Serve as the welcoming face of the office, managing guest arrivals, visitor sign-ins, and security protocols, while maintaining a clean, professional, and organized reception area.
Coordinate building access passes, assist with ground-floor deliveries, and professionally manage incoming phone calls, emails, and general office inquiries.
Act as the primary point of contact for cleaning, maintenance, utilities, and HVAC vendors, ensuring contractor access is secure and their completed work meets quality and safety standards.
Monitor, log, and resolve employee maintenance requests, communicate facility updates, and manage inventory for office and kitchen supplies, including coffee machine upkeep and restocking.
Provide general administrative support, assist with new employee onboarding logistics, coordinate meeting room bookings, and help organize on-site events.
Oversee the National Sales Company (NSC) evaluation vehicle program by managing vehicle key storage, coordinating vehicle allocations, and ensuring strict adherence to company fleet policies.
Manage the operational budget for office services, including processing purchase orders (POs), managing corporate credit cards (P-Cards), reconciling expenses, and verifying vendor invoices.
Help maintain a safe work environment by completing weekly safety audits, actively participating in safety committee meetings, reporting hazards, and ensuring building policy compliance.
About you
Proven experience in office administration, front-of-house, reception, or a corporate hospitality role.
Outstanding organizational skills with sharp attention to detail and the ability to prioritise and multitask in a dynamic environment.
A proactive, solutions-oriented mindset with the ability to handle unexpected operational or visitor challenges calmly and efficiently.
Strong interpersonal and communication skills, with the ability to interact professionally with staff, visitors, and external vendors.
Practical experience in basic financial administration, including tracking office budgets, reconciling expenses, and managing Purchase Order (PO) systems.
High proficiency with the Microsoft 365 suite, particularly Word, Excel, PowerPoint, and Teams.
