8 a.m. to 5 p.m., 40-hour work week, Monday through Friday.May occasionally work evenings, weekends, or holidays.Hours may change based on business needs.
Minimum Qualifications
Education: Graduation from a standard senior high school or equivalent.
Experience: Three (3) years’ experience in clerical office and/or administrative work.
Preferred Experience: Experience using Microsoft Office Suite software and a multi-line telephone.
In this role you will:
Performs program support for management and the team.
·Answersandroutesphonecalls,takesmessages,andgreets/directs visitors to the appropriate staff.
·Processes audit collections on Agency Work Manager and deposits funds. Complies with Agency Records Retention requirements. Maintains personnel folders.
·Performs imaging duties and assists in maintaining the imaging equipment.
·Performs word processing work associated with examinations utilizing Microsoft Word. Prepares, edits, and distributes various cover letters and templates.
·Performs timekeeping, organizes and monitors travel arrangements and reimbursement requests for others.
·Maintains filing systems, including recording information; updating paperwork; or maintaining documents, records, correspondence, or other material.
·Schedules meetings, conferences, seminars, presentations, and trainings.
·Meets training requirements.
Conducts administrative reviews of reports to ensure administrative completeness for management.
·Handles incoming mail (physical and electronic) and coordinates the flow of information internally and externally. (Technical Competence)
·Receives, date stamps, scans, and logs all incoming mail and distributes accordingly. Maintains mail logs as necessary.
·Monitors various BART email boxes and responds, logs, and distributes the correspondence accordingly.
·Prepares outgoing mail and maintains postage balances. Documents and performs research on returned mail.
·Performs copying, sorting, filing and all other incoming and outgoing mail activities. Prepares accurate and complex correspondence and reports.
Prioritizes, plans and organizes tasks in a manner which optimizes efficiency.
·Plans available time to efficiently complete assigned tasks.
·Is dependable, meets deadlines, and produces high-quality work.
·Is receptive to constructive feedback and adjusts work behavior based on feedback.
·Is responsive to inquiries and assignments in a timely manner, regardless of the requestor’s status.
·Orients newly hired administrative support staff and new auditors regarding field office practices and agency policies and procedures.
·Travels occasionally to participate in special projects and attend mandatory training located in local and out of town locations that may require overnight stays.
·Performs other duties as assigned.

Of Physical Requirements
Employees are required to use their personal mobile phones as a part of 2 factor/multi factor authentication for accessing CPA systems securely. You will also receive critical/emergency calls/texts on your cell phone to ensure immediate communication. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires the incumbent to primarily perform sedentary office work; however, mobility (standing and walking) is routinely required to carry out some duties. It requires extensive computer, telephone, and client/customer contact. It requires the ability to bend, stoop, kneel, and reach as needed for filing and similar routine office duties. The job also requires normal cognitive abilities to learn, recall, and apply certain practices and policies. It requires the stamina to maintain attention to detail despite interruptions. Marginal or corrected visual and auditory requirements are required for reading printed materials and computer screens and communicating with internal and external customers. The individual must be able to transport a laptop computer and printer to the various audit locations to conduct the necessary field work. The individual must be able to lift, pull, physically handle, and transport taxpayer records, documents, boxes, and all related information, weighing up to 30 pounds when required. The individual must be able sit for long periods of time when commuting to and from assigned destination.
