Job Overview:
This position provides specialized administrative and clinical support to the Maternity Departments, with a primary focus on birth registration and coordination of documentation related to pregnancy and newborns. Responsibilities include assisting patients with creating and registering birth certificates in the Ohio Vital Records System (OVRS) and ensuring compliance with state requirements. The role collaborates closely with care coordinators and social workers, particularly in complex situations such as gestational carrier arrangements, surrogate births, adoptions, and child protective custody cases. The position manages and organizes electronic documentation, including timely attachment of external documents to the TriHealth EMR. It requires ongoing professional communication with multiple state agencies, such as the Ohio Department of Health, Office of Vital Statistics, Ohio Central Paternity Registry, and various departments within the Bureau of Maternal, Child, and Family Health. This role includes data entry and retrieval in EPIC and OVRS, as well as processing requests for durable medical equipment—primarily breast pumps—prior to patient discharge. The individual will coordinate approvals or denials with Lactation Consultants, Pediatricians, and patients, and ensure bedside delivery of approved equipment. Additional duties include completing approximately 80% of paternity affidavits for unmarried parents and participating in continuous quality improvement initiatives to enhance departmental processes and support exceptional patient care. The position also performs assigned office management functions to support overall departmental operations.
Job Requirements:
Associate's Degree (Required)
3 - 4 years experience Clerical office or hospital clerical or care delivery (Required)
Up to 1 year experience in Healthcare either in a hospital or community agency (Required)

Assist patients in creating and registering birth certificates in the Ohio Vital Records System (OVRS), ensuring accuracy and compliance with state guidelines at patient bedside, prior to discharge. Coordinate DME requests—including breast pumps—prior to patient discharge by verifying approvals, communicating outcomes to providers and patients, and arranging bedside delivery of approved equipment.
Collaborate with care coordinators and social workers to manage documentation for gestational carriers, surrogate births, adoptions, and child protective custody cases, ensuring all legal and regulatory requirements are met.
Attends staff meeting and in-services. Participates in teambuilding exercises as indicated. Engages in educational opportunities to maintain professional competence. Participates in continued quality improvement projects to improve process to deliver exceptional patient care.
Receive, organize, and upload electronic documents into the TriHealth EMR in a timely and accurate manner, maintaining secure and complete patient records.
