Position Type: Practice SupportOverview
This position provides administrative support primarily to the Compliance Department.  The Compliance Assistant must possess strong organizational skills, reading, analytical and a general knowledge of the preparation and processing requirements of legal documents.  This position is responsible for processing the release medical record requests in a timely and efficient manner ensuring accuracy and providing customers with the highest quality product and customer service. Duties require interaction with various internal and external groups, agencies, attorneys and the general public.

Essential Duties and Responsibilities
•    Primary individual responsible for processing patient medical record requests within 30 days from receipt and maintaining corresponding log;
•    Possess (or be able to quickly learn) a general understanding of HIPAA laws and regulations, which includes understanding safeguarding and protecting PHI and PII.
•    Provide Administrative support company’s Learning Management System;
•    Responds to subpoenas according to operational standards and legal timelines.
•    Organize, scan, file and/or save case-specific patient records, legal documents, data and other materials to ensure proper case management;
•    Assist in gathering and obtaining information and documents in response to legal or administrative agency requests;
•    Prepare and assemble policy manuals, materials, documents, and exhibits for meetings, general distribution, and hearings;
•    Ensure satisfaction of deadlines through execution of dated correspondence and court calendar management;
•    Coordinate/schedule meetings and/or conference calls and notify interested parties;
•    Compose, type and finalize departmental correspondence; proofreads and corrects prepared materials for correct grammar, spelling, punctuation, format, syntax, and content;
•    Mail, fax, scan, electronically file or arrange for delivery of legal correspondence to clients, witnesses, employees, attorneys and court officials;
•    Receive, sort, and distribute incoming mail daily; calendar court, meeting or hearing dates included with incoming correspondence;
•    Maintain departmental files and directories in current and proper order;
•    Process invoices and check requests, as needed;
•    Receive and screen visitors and telephone calls;
•    Perform related work as assigned.

Qualifications•    Education includes a high school diploma or equivalent.  Graduation from a recognized business school or college is preferred.
•    Experience should include at least one year of relevant secretarial and/or administrative work in a law office, dental practice or business office.  Any combination of training and experience that provides the required knowledge, skills, and abilities will be evaluated on an individual basis.
