Job Description
The Community Events Coordinator is responsible for the planning, coordination, and execution of lifestyle programs and events that enhance resident engagement and overall quality of life within a Homeowners Association (HOA) active adult (55+) community.
This position also provides administrative support to HOA operations, including resident communications, amenity coordination, and alignment of activities with governing documents and community standards. The role requires strong organizational skills, attention to detail, and the ability to deliver a high level of customer service while supporting both lifestyle initiatives and operational functions.
Daily responsibilities:
- Assist in the development and execution of community activities, events, and programming.
- Coordinate a variety of programs, including fitness and wellness classes, social events, educational workshops, and excursions.Engage with homeowners and residents, fostering strong community relationships.
- Collaborate with local businesses, entertainers, and educators to bring new experiences to our residents.
- Maintain advertisement, sign-ups, deposits, event set-up, and event logistics.
- Schedule and communicate with instructors, entertainers, and third-party vendors. Confirm contracts, scheduling, setup requirements, and service expectations.
- Process invoices, receipts, and expense reports in a timely manner.
- Assist with budget tracking for programs and events.
- Maintain accurate records of event attendance, registrations, and ticketing (if applicable).
- Track amenity usage, reservations, and resident participation.
- Assist with documentation and tracking of community communications and compliance-related notices.
- Prepare and distribute announcement, track sign-ups and attendees, coordinate reservations if applicable, maintain event attendance records, ticketing, and packets.
- Coordinate maintenance for room readiness.
- Flexibility to work evenings, weekends, and holidays as required.
- Other duties as requested.
Qualifications
- High school diploma or equivalent required.
- 1+ years of experience in event coordination, hospitality, recreation, or community programming.
- Excellent communication skills (written and spoken).
- Customer service driven, team oriented, and proactive communication.
- Thrive on community engagement and contributing to a positive culture.
- Reliable, dependable, punctual, ability to prioritize tasks and manage multiple projects simultaneously.
- Well versed in Microsoft Office Suite (Word, Excel, Outlook).
