The Communications Operations & Content Design Specialist supports the quality, clarity, and consistency of Head Office-to-field communications through communication review, content organization, and communications platform administration. Working closely with cross-functional partners, Information Technology, vendors, and the Communications team, this role helps ensure store-facing communications are accurate, easy to understand, and aligned with established communication standards.
Through content review, communication standards, platform administration, and process improvements, the Specialist helps ensure information is delivered effectively across dashboards, communications platforms, and digital content experiences. The role assists content owners by identifying opportunities to improve clarity, completeness, and usability while helping prepare communications for successful field execution.
Combining strong communication skills and technical skills with operational expertise, the Specialist supports the effectiveness of communication processes, tools, and user experiences to facilitate effective information sharing across the organization.
Essential Details and Responsibilities
Communication Development & Content Design
Support the development of engaging, user-friendly communication materials for internal audiences.
Design and maintain dashboard, landing page, and web-style content experiences that improve information organization, accessibility, and usability for field users.
Review, edit, and enhance store-facing communications to ensure content is clear, accurate, actionable, and aligned with communication standards.
Apply content design and user experience principles to improve readability, navigation, information hierarchy, and task execution.
Partner with content owners to identify gaps, inconsistencies, unclear direction, or missing information and provide recommendations to strengthen communications before deployment.
Provide guidance on communication best practices, store usability, audience considerations, and message effectiveness.
Support communication intake, prioritization, scheduling, workflow coordination, and publishing readiness.
Communications Platform Administration
Support content structure, navigation, and page design within communications platforms to enhance the user experience and improve information discoverability.
Support day-to-day administration of communications platforms, including user access, audience structures, system settings, and data accuracy.
Support platform testing, enhancements, issue resolution, documentation maintenance, and vendor coordination.
Maintain administrative procedures, business rules, platform standards, and governance documentation.
Develop and maintain user guides, job aids, reference materials, and process documentation.
Provide first-level user support, onboarding, training, and platform guidance.
Reporting, Analytics & Survey Administration
Compile recurring reports, dashboards, communication activity summaries, and survey results, as needed to support business decision-making.
Support communication workflow management and operational processes to ensure timely and effective information delivery.
Continuous Improvement
Identify opportunities to improve communication processes, platform usability, data accuracy, and user experience.
Assist with change readiness activities related to new tools, workflows, or platform updates.
Contribute to the ongoing evolution of communication practices, templates, standards, and governance processes.
Experience, Education, Certifications
Post-secondary education in Communications, Business Administration, Information Systems, Digital Content Management, Technology, or a related discipline preferred.
2-4 years of experience in communications, communications operations, content management, business systems administration, digital platform administration, or a related specialist-level role preferred.
Experience supporting intranet, communications, content management, or employee-facing digital platforms considered an asset.
Experience in a retail or franchise environment considered an asset.
Proficiency in Microsoft Office 365, including Excel, Word, Outlook, PowerPoint, OneDrive, and CoPilot.
Strong organizational skills with the ability to manage multiple priorities and recurring deadlines.
Strong attention to detail and ability to maintain accuracy across systems, reports, and communication workflows.
Compensation:
The targeted salary range for this position is $57,000 - $62,000 annually. The final offer will be based on factors such as market location, relevant skills, experience and internal equity.
