Carrier Enterprise (CE) is seeking a Commercial Parts Specialist to join our team. This role focuses on processing HVAC parts orders, supporting contractors and dealers, and ensuring accurate and timely fulfillment of light commercial HVAC replacement parts and supplies.

As a Commercial Parts Specialist you will be responsible for processing Commercial HVAC parts orders, assisting customers with product selection, and supporting contractors with timely, accurate order fulfillment. You will handle inbound requests, help identify correct replacement parts, and ensure smooth coordination between customers, warehouse, sales teams, and suppliers.

This role also includes upselling compatible parts, supporting backorders, and ensuring high levels of customer satisfaction through strong communication and order accuracy. Performance-based incentives may apply.

Essential Duties and Responsibilities:

  • Utilize RC tools, CE systems, and industry resources to identify, source, quote, and resolve parts requests accurately and efficiently.
  • Manage and respond to high-volume parts inquiries, with the team processing approximately 30–50 requests per day, many requiring extensive research and technical review.
  • Enter, manage, and track HVAC parts orders for contractors and dealers; ensure accuracy in part numbers, equipment matchups, and order details.
  • Act as the primary liaison between Sales, Product Management, and Replacement components to resolve commercial and residential parts-related issues across the region.
  • Coordinate and prioritize daily workflow for the commercial parts team to ensure timely response to customer and internal requests.
  • Respond to inbound calls and messages regarding HVAC replacement parts and availability; assist customers in identifying correct components for light commercial systems; help determine compatible HVAC parts, accessories, and replacements.
  • Monitor open orders, backorders, shipping status, and delivery timelines; communicate delays or substitutions to customers as needed.
  • Support cross-referencing and substitutions of discontinued or unavailable parts; provide guidance to ensure customers receive the correct replacements.
  • Resolve order discrepancies, returns, missing parts, and shipment issues; coordinate with the warehouse, vendors, and internal teams to correct problems quickly.
  • Assist with warranty claims and defective part returns; ensure proper documentation and processing of all returns.
  • Identify opportunities to recommend additional or upgraded HVAC parts; support add-on sales during order entry and customer interactions.
  • Utilize internal ordering systems, CRM platforms (including Salesforce tools), and eCommerce portals; support contractor digital tools for ordering and inventory lookup.
  • Maintain understanding of HVAC systems, common replacement parts, and basic system configurations; learn substitution options and cross-brand compatibility (Carrier, Bryant, Payne).

Required Qualifications:

  • Will manage a CRM database (Salesforce exp is preferred)
  • Self-starter, highly accountable, works well under pressure.
  • Ability to work well with all levels of the organization.
  • Capability to build trust quickly with a team.
  • Proven customer service skills
  • Knowledge of HVAC products, markets and equipment
  • Exceptional communications skills complete with ability to follow through.
  • High sense of urgency
  • Proficient in Microsoft Office applications
  • Professional phone etiquette.
  • Handle prolonged periods of sitting or standing at a desk and working on a computer. Frequent repetitive motion using hands and fingers to type and navigate software systems. Must be able to communicate clearly and professionally, both verbally and in writing. Occasionally required to stand, walk, bend, or reach. May be required to lift or move office products and supplies up to 15 pounds.

Educational / Experience

  • High School Diploma or GED
  • 2 years minimum experience in Sales for HVAC or similar / relevant industry
