Purpose:

The Commercial Operations Contract & Support Specialist supports the execution of the Commercial Operations strategy across Emerging Markets by managing the end-to-end operational lifecycle of distributor and other commercial agreements. The role coordinates contract initiation, drafting inputs, review, approvals, execution, amendment, renewal and close-out in partnership with Commercial Operations, Legal, Finance, Compliance, Procurement and business stakeholders. The position maintains accurate contract records, performs reconciliation across contract, commercial and financial data sources, and applies intermediate data analytics and advanced Excel skills to identify trends, resolve discrepancies, strengthen reporting and support informed decision-making. The role also monitors obligations and key milestones, improves contract governance, and helps ensure commercial arrangements are executed consistently, on time and in line with applicable company policies and procedures.

You will be responsible for:

Contract lifecycle management

  • Coordinate the end-to-end contract workflow for distributor agreements, service agreements, non-disclosure agreements (NDAs) and other commercial contracts, including new agreements, amendments, renewals, extensions and terminations.
  • Serve as the operational point of coordination between Commercial Operations, Legal, Finance, Compliance, Procurement, business teams and external partners.
  • Collect and validate business inputs, supporting documents and approvals required to initiate and progress contract requests.
  • Track drafting, review, negotiation, approval and signature stages, proactively following up on actions and escalating delays or risks.
  • Maintain complete, accurate and audit-ready contract files, trackers and repositories, including executed agreements and supporting approvals.
  • Monitor contract expiry dates, notice periods, renewal windows, obligations, deliverables and other key milestones.
  • Support contract close-out, transition and handover activities, including documentation related to amendments, renewals or termination.

Contract governance and compliance

  • Ensure contract activities follow approved templates, delegation of authority, internal policies, standard operating procedures and record-retention requirements.
  • Support due diligence and governance requirements by coordinating required documentation and confirming completion with the accountable functions.
  • Identify missing, inconsistent or non-standard contractual information and route items to the appropriate subject-matter expert for resolution.
  • Support internal reviews, audits and compliance assessments by providing accurate contract records, status updates and evidence of approvals.
  • Maintain confidentiality and apply appropriate controls when handling commercially sensitive and personal information.

Operational excellence and reporting

  • Maintain the contract pipeline and provide regular reporting on status, aging, upcoming expiries, overdue actions, risks and decision points.
  • Analyze workflow data to identify bottlenecks, recurring issues and opportunities to improve cycle time, quality and stakeholder experience.
  • Develop and maintain standard templates, checklists, guidance materials and process documentation in collaboration with relevant functions.
  • Support implementation and adoption of contract management systems, dashboards and standardized regional processes.
  • Coordinate stakeholder meetings, document decisions and actions, and ensure timely closure of agreed follow-ups.
  • Build effective working relationships with internal stakeholders and external partners, providing clear and timely operational support.

Data analytics and reconciliation

  • Coordinate the timely collection, validation and consolidation of distributor reports and analytics, including compliance reporting, to support accurate monitoring, governance and management decision-making.
  • Perform regular data reconciliation across contract, commercial and financial data sources to ensure completeness, consistency and accuracy.
  • Apply intermediate data analytics techniques in Excel to identify trends, exceptions, discrepancies and operational risks, and support timely corrective actions.
  • Prepare and maintain accurate dashboards, trackers and management reports that translate data into clear insights for decision-making and performance monitoring.

Qualifications / Requirements:

  • Bachelor’s degree in business administration, finance, Paralegal Studies, Office Administration or a related discipline.
  • 1 or more years of relevant experience in contract administration, commercial operations, legal operations, paralegal work or administrative support.
  • Experience as a Finance Analyst, or in a comparable finance-focused role involving data analysis, reconciliation and operational reporting, is an advantage.
  • Experience providing legal, paralegal, contract-administration or administrative support across multiple stakeholders is preferred.
  • Experience in the medical device, pharmaceutical or other regulated industry is an advantage.
  • Proficiency in Microsoft Office, particularly Excel, Word and PowerPoint; experience with contract lifecycle management or electronic signature systems is preferred.
  • Fluent English is a must, other European languages would be considered as benefit

The anticipated base pay range for this position is

  • 10 000 PLN gross/monthly to 16 190 PNL gross/monthly in Poland
  • 58 500 CZK gross/monthly to 94 500 CZK gross/monthly in the Czech Republic
  • 723 800 HUF gross/monthly to 1 165 800 HUF gross/monthly in Hungary
  • 2 675 EUR gross/monthly to 4 250 EUR gross/monthly in Croatia
  • 11 000 RON gross/monthly to 17 500 RON gross/monthly in Romania

In addition to base pay, we offer the following benefits*: an annual bonus with set target (% of pay) depending on pay grade / location, where the actual amount is based on the employees’ and companies’ performance of the previous calendar year, or sales commissions.
