Job Description

The position of Commercial Coordinator is pivotal in supporting the company's commercial operations by ensuring seamless coordination among various departments, distributors, and stakeholders. This role encompasses the management of distributor-related approvals, oversight of financial transactions, support for marketing initiatives, support for internal and external communications, and execution of administrative tasks that contribute to the smooth functioning of business operations. The role demands strong organizational skills, meticulous attention to detail, and effective communication with internal teams, external partners, and senior management. Additionally, the Commercial Coordinator plays a crucial role in compliance by ensuring that all processes related to expenses, payroll, and legal agreements are thoroughly reviewed and approved.

RESPOSIBILITIES & TASKS:

  • Distributor Expense Management: Review, track, and secure approvals for all expenses related to Pharmascience employees and distributors.
  • Project Coordination (Marketing): Assist in coordinating project-based marketing initiatives, ensuring timely execution and alignment with business goals.
  • Internal/External Communication: ensuring effective communication within the organization and with external stakeholders. This includes memos, reports, and updates to ensure that all departments are aligned and informed about ongoing projects and regional news. Crafting and managing external communications, including press releases, social media publications, and correspondence with distributors, clients, and partners.
  • Administrative Tasks outside the office: deliver documents for notarization, obtain CPP’s from Health Ministry, review and pay differences at Health Ministry for variances resulting from SWIFT transfers ex Canada and local conversion into BGN.
  • HR & Payroll Support: Prepare correspondence, reports, and materials to support the global HR team and coordinate payroll-related tasks for employees.
  • Event & Meeting Organization: Plan and manage logistics for meetings, conferences, and other business events.
  • Financial Oversight: Monitor and coordinate marketing expenses, ensuring proper approvals and budget adherence.
  • Legal Agreement Coordination: Assist in the management and follow-up of legal agreements with distributors, ensuring compliance with company policies.
  • Office supplies and IT Equipment Coordination: Oversee the procurement, allocation, and maintenance of IT equipment for employees.

SKILLS, KNOWLEDGE & ABILITIES:

  • Strong organizational and multitasking abilities.
  • Excellent communication and coordination skills.
  • Knowledge of financial processes, approvals, and budgeting.
  • Understanding of pharmaceutical regulations and compliance.
  • Ability to work cross-functionally with legal, HR, marketing, and finance teams.
  • Proficiency in Microsoft Office Suite and other relevant business tools.
  • Spoken and written fluency in English; competency in French and additional languages is an asset.
