The HVAC Commercial Sales Bid Coordinator provides commercial quote sales support. They are responsible for working collaboratively with the sales team to review new construction quote requests, assign quotes to the appropriate sales channel, prioritize quotes, manage quote related correspondence, send quotes to bidders, manage a structured quote follow up process, post bid information to the cloud and manage internal software systems. The Bid Coordinator must be able to manage multiple projects and communicate with internal and external customers to assure customer satisfaction.

Job Responsibilities:

  • Work with insides sales to evaluate bids for new construction projects
  • Collect, organize and post job related information
  • Maintain on-line quote systems and quote files
  • Follow up on assignments to make sure all quotes are provided prior to deadline
  • Maintain productive relationships with customers and internal sales channels
  • Generate and provide monthly bid reports.
  • Provide post bid follow up with external customers
  • Maintain good relations with customers by providing prompt reply to incoming calls and e-mail
  • Manage the inside sales e-mail inbox to ensure all requests are addressed

Requirements:

  • Education: High School diploma or equivalent required; Associates or technical degree preferred
  • Minimum 3 years of Experience in HVAC, construction, estimating, or related field preferred

Qualifications:

  • Highly motivated self-starter, able to work with minimal direction required from management
  • Qualified candidates will have both a business and a technical background
  • Strong communication skills
  • Excellent customer service skills
  • Good computer skills and common software literacy
  • Ability to handle multiple tasks in a fast-paced environment
  • Solid critical thinking, problem-solving and planning skills
  • High level of personal accountability; sense of urgency and self-initiative is a must
