Job Description

Reporting to the Commercial Supervisor, is a hands-on role where you’ll partner with internal teams and stakeholders to ensure smooth day-to-day operations, strong coordination, and timely execution of key administrative functions supporting the facilities maintenance.

Key Responsibilities

  • Coordinate facilities management, including maintenance, security systems, and site services
  • Manage fixed assets, including asset allocation, records, and annual stocktakes
  • Support Capex processes – tracking budgets, raising requests, and following approvals
  • Provide Accounts Payable support (Doxis, supplier setup, reconciliations)
  • Maintain the motor vehicle register, including fleet tracking, audits, and insurer liaison
  • Oversee office supplies and general branch administration
  • Assist with expense claims, travel allowances, and timesheet processing
  • Support Who’s On Location (WOL) management and contribute as a member of the HSE committee
  • Provide ad-hoc support to the Commercial and Service Administration teams

About you

  • Certificate IV in Business Administration OR at least 3 years relevant administration experience
  • Exposure to Invoicing, raising CAPEX and Accounts Payable
  • High attention to detail and effective communication skills with both external and internal stakeholders.
  • Ability to handle multiple tasks and complete to high standard in time efficient manner
  • Exceptional customer service skills and attention to detail.
