Commercial Administrator

Location: International House, HITP, Blantyre, G72 0BN

Salary: up to £32,000

Hours: Full time, 37 hours per week

About the role

We are looking for a highly organised and commercially aware Commercial Administrator to support our Finance Business Partner and wider operational teams within HFD Group, working closely with DataVita.

This role sits at the intersection of finance and operations. You will play a key part in ensuring project billing is accurate and timely, while also supporting procurement processes to ensure projects are delivered smoothly and in line with contractual and operational requirements.

This is an excellent opportunity for someone with strong administrative skills who wants exposure to commercial finance, contract management and cross-functional collaboration.

Key responsibilities

Project billing & sales support

  • Assisting with the end-to-end project billing process
  • Raising sales invoices in line with contractual terms and agreed milestones
  • Working closely with the Finance Business Partner to ensure billing reflects agreed commercial conditions
  • Supporting the wider sales process with accurate documentation and administrative oversight
  • Maintaining clear records of billing schedules, contract terms and variations

Procurement & operational support

  • Supporting the procurement process across DataVita departments
  • Working with operational teams to ensure purchasing aligns with implementation plans and project timelines
  • Coordinating purchase orders and ensuring correct approvals are obtained
  • Monitoring supplier documentation and ensuring compliance with internal controls
  • Assisting in resolving any process or documentation queries between departments

Process & coordination

  • Helping to embed efficient commercial and administrative routines
  • Ensuring documentation is accurate, complete and accessible
  • Supporting continuous improvement of commercial and procurement processes
  • Liaising with finance, sales, operations and suppliers to ensure smooth communication

About you

Experience & qualifications

  • Previous experience in a commercial administration, finance administration or procurement support role
  • Strong attention to detail and high levels of accuracy
  • Confident working with contracts, invoices and financial documentation
  • Competent in Microsoft Office, particularly Excel
  • Ability to manage multiple tasks and deadlines effectively
