How you’ll play your part
In this role, you will provide operational, analytical and governance support to the Principal Collections Manager in overseeing the Appointed Representative (AR) delivering FCA-regulated collections activities. The role is responsible for management information, governance coordination, quality assurance support, risk tracking and administrative tasks, ensuring effective oversight processes are maintained and enabling informed decision making.
Main Accountabilities
Governance & Operational Oversight:
Maintain governance frameworks, including action logs, meeting materials, and oversight documentation. Coordinate governance forums by preparing packs, capturing minutes, and tracking actions to completion. Ensure accurate audit trails are maintained to support regulatory and internal requirements. Support oversight planning and scheduling across stakeholders.
Continuous Improvement:
Support continuous improvement initiatives by identifying opportunities to enhance oversight processes, governance controls, and operational reporting. Coordinate information and actions between MBFS stakeholders and the Appointed Representative to support the implementation of agreed improvements and maintain accurate oversight records.
Performance Monitoring & Management Information:
Produce and maintain accurate MI and oversight dashboards covering KPIs, SLAs and operational performance. Analyse performance data to identify trends, anomalies, and emerging risks. Provide clear commentary and insight to support decision making by senior management. Prepare reporting packs for governance forums and performance reviews.
Customer Outcomes & Quality Assurance:
Complete customer file reviews, gather evidence and support customer outcome testing activities, highlighting potential customer detriment, emerging themes and areas requiring escalation to the Principal Collections Manager.
Risk & Issue Tracking:
Maintain operational risk and issue logs relating to outsourced collections activity. Track remediation actions, ensuring timely follow-up and escalation of overdue items. Support investigation of incidents, complaints and operational risks through evidence gathering. Provide structured updates to support risk reporting and governance.
Stakeholder, Training & Coordination Support:
Act as a central coordination point between internal stakeholders and the Appointed Representative. Support operational activities including service requests, escalations and information gathering. Coordinate training sessions, SME engagement, and feedback loops. Ensure alignment of information flow across stakeholders to support effective oversight.
Collections Oversight Administrative Tasks:
Undertake administrative and control activities to support oversight of the Appointed Representative, including write-off reviews, maintaining ICS controls, supporting invoice approvals, and performing third-party payment checks. Responsibilities also include managing AR starters and leavers, coordinating IT tickets and system testing support, reviewing indemnity claims and integrity issues, preparing governance meeting minutes, and ensuring compliance with MBFS Supplier Management Toolkit requirements.
About you
Strong analytical capability with experience in MI reporting and performance tracking.
Understanding of FCA-regulated collections environments and customer outcome requirements.
Experience supporting governance frameworks, risk tracking, and operational oversight.
Strong organisational skills with the ability to manage multiple priorities.
Effective stakeholder management and communication skills.
High attention to detail and ability to maintain accurate documentation.
