Position Overview:

The Cooperative (Co-Op) and CEMA Administrator provides administrative, and document-handling support for Cooperative and CEMA loan operations. This position is responsible for receiving and processing daily mail and closing packages, preparing documents for shipment to attorneys and settlement agents, entering required information into the loan onboarding system, and assisting department specialists as needed. The Administrator helps maintain an organized, accurate, and timely document flow so loans can progress through onboarding, review, correction, and final delivery.

Job Responsibilities:

  • Provide administrative support to Cooperative and CEMA Specialists, including document retrieval, scanning, uploading, copying, file research, package preparation, follow-up assistance, and status updates.
  • Receive, sort, and distribute incoming mail, overnight deliveries, and closing packages.
  • Identify, track, and route loan documents to the appropriate systems and teams.
  • Scan, index, label, and maintain documents in accordance with record-retention requirements.
  • Review incoming packages for completeness and escalate discrepancies as needed.
  • Maintain custody and organization of Cooperative, CEMA, title, and other critical loan documents.
  • Manage paper and electronic records to ensure accuracy, accessibility, and compliance.
  • Prepare, process, and track documents supporting Cooperative and CEMA operations.
  • Coordinate document execution, approvals, signatures, and delivery workflows.
  • Facilitate document transfers among internal teams, attorneys, settlement agents, and other approved parties.
  • Assemble, verify, and ship loan packages, ensuring accuracy and proper tracking.
  • Enter and maintain loan, document, and shipment data within department tracking systems.
  • Monitor assigned queues, mailboxes, and task lists to meet service-level expectations.
  • Provide administrative support to Cooperative and CEMA Specialists, including document retrieval, file maintenance, and status updates.
  • Communicate professionally with internal and external business partners regarding document and shipment status.
  • Maintain confidentiality, adhere to quality-control standards, and support cross-training, special projects, and departmental coverage as needed.
  • Follow documented procedures, quality-control checkpoints, and escalation requirements; promptly report missing originals, misdirected packages, damaged documents, shipping exceptions, or system issues.
  • Support cross-training, workload coverage, special projects, pipeline clean-up efforts, and other department duties as assigned.

Qualifications and Skills:

  • High school diploma or equivalent.
  • Administrative support, mailroom, document-control, mortgage, title, legal, banking, or related office experience, preferred.
  • Excellent attention to detail to process high volumes of documents while maintaining accuracy.
  • Skill in organizing competing priorities, meeting deadlines, and escalating time-sensitive issues appropriately.
  • Skilled in entering data quickly and accurately.
  • Effective written and verbal communication skills to collaborate effectively with specialists, Team Leads, attorneys, settlement agents, and other business partners.
  • Ability to learn and follow document-stacking orders, naming conventions, onboarding requirements, and department procedures.
  • Ability to maintain confidentiality of borrower and loan information.
  • Proficiency with Microsoft Outlook, Word, Excel, document imaging, and data-entry systems.
