This is an internal job opportunity exclusive to
current employees of the Wiliamson County Sheriff's Office

Reporting directly to the Office Coordinator or Office Administrator, responsible for performing financial reporting, bookkeeping/accounting, and routine administrative activities in support of the Williamson County Jail.

Examples of duties

  • Ensures cash flow of inmate accounts (intake, purchases, third-party release, releases)
  • Monitors commissary applications, trouble shoot deposit kiosks and inmate commissary portal and assist in executing commissary vendor services
  • Audits and processes invoices
  • Prepares financial reports, balance sheets
  • Creates purchase orders, maintains forms, worksheets, and informational materials
  • Applies medical billing and internal bill-of-sale to inmate accounts
  • Monitor banking institutions for accuracy, working knowledge of debits and credits
  • Completes month-end account monetary collections
  • Processes, tracks, and submits deposits to treasurer and banking institution
  • Interpret financial data and cash flow processes, research financial discrepancies and provided solutions
  • Creates and maintains scanned document folders
  • Processes refunds to appropriate parties/public
  • Coordinates with Office of Foreign Asset Control (OFAC) to mitigate fraudulent financial transactions
  • Maintains knowledge of Generally Accepted Accounting Principles (GAAP)
  • Provides direct customer service in-person and by telephone
  • Prioritizes communication with other county departments, other law enforcement agencies and the public
  • Coordinates with internal staff, including but not limited to accounts payable, treasurer’s office and the medical department
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned

PHYSICAL DEMANDS

  • Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying
  • Position may involve working day and/or overnight shifts

ENVIRONMENTAL FACTORS

  • Work is primarily indoors in an air-conditioned environment
  • Contact with persons accused or convicted of crimes
  • Contact with law enforcement officials and public

IRREGULAR HOURS

  • Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
  • May be deemed essential personnel in the event of an emergency

Qualifications

  • High School diploma or equivalent
  • Three (3) years of clerical experience including accounting and financial duties
  • Working knowledge of financial applications

LICENSES AND CERTIFICATIONS

Required within thirty (30) days of employment

  • Valid driver’s license
  • Budget Assignment: Criminal Justice Information Services (CJIS) User certification

PREFERRED QUALIFICATIONS

  • Knowledge of legal and criminal justice systems
