The annual base salary range for this position:

zł69,600.00 - zł105,600.00

Individual pay will be based on various factors such as relevant work experience, education, certifications, skill level, seniority, and internal equity.

Job Purpose This job's purpose is provide management assistance to the GM of Customer Ops EMEA and GM Mobility Digital GM, position is based in Krakow. It will involve collaborating with leadership team members in various countries, engaging global contacts across CoB/F, plus externally, and coordinating with multiple stakeholders globally. The individual will be required to apply a customer-centric and HSSE mindset in the execution of all duties. A self-starter with strong communication and relationship skills is essential and proactive approach is essential to be effective in this role. This role reports to the GM Customer Operations Europe/Middle East/Africa (EMEA) and the role is key to supporting members of the EMEA and Customer Operations Leadership Team.

Dimensions This role will be a great fit for an individual seeking to consolidate experience in management administrative coordination and be exposed to a wider part of both the Lubricants and Mobility organisation. Previous experience in management assistance is preferred but not required.

Principal Accountabilities Agenda Management - full management of schedule/diary/calendar. Scheduling a variety of styles of meetings for attendees working in multiple time zones, including booking facilities when necessary, preparing content and co-ordinating outcomes.

Travel Arrangements - Co-ordinating end to end travel arrangements as required of GM CO EMEA, including visa/passport applications, booking flights, arranging transfers, making hotel reservations, office arrangements, arranging f2f sessions, producing itineraries and travel risk assessments, liaising with local staff etc.

General Office Management - assisting in preparation of documents, reports and presentation materials. Organising relevant building access for external visitors and visiting staff for leaders this position supports, at times preparing their agendas. Greeting and escorting visitors as needed, ensuring HSSE policy is always adhered to.

Day to Day Activities supporting GM-1s (Customer Ops EMEA LT) on an adhoc basis for example pre-reads, reports, post, phone calls and messaging, solid understanding of facilities and technology to guide and troubleshoot for managers.

Language: English required

Requirements:

  • Ability to work with minimal supervision and be a self-starter.
  • Ability to work in a fast paced environment and to cope with last minute changes.
  • Strong written and verbal English language skills.
  • Strong interpersonal, administrative and organisational skills, strong attention to details and focus on delivering high quality of work.
  • Effective communication, proactive engagement and Customer Obsessed mindset are essential skills for this position.
  • Experience in organizing meeting and events and working with 3rd party service providers Data privacy and confidentiality given the sensitive nature or projects/pre-reads handled and coordination of Reward & Recognition Awards.
  • Exposure to corporate/global environment.
  • Confidentiality and ability to hand highly sensitive situations with diplomacy and tact. Interface with senior stakeholders internal and external to Shell.
  • Working to a global calendar with solid understanding of time zone challenges when scheduling meetings.
  • Good grasp of day to day IT technology necessary.
  • Ability to work independently, set priorities and manage workload.
  • Ability to display initiative, flexibility, efficiency, tact, diplomacy at all times.
  • Excellent interpersonal skills both face to face and on the phone.
  • Ability to multitask and manage conflicting priorities with a positive attitude.
  • Ability to communicate and establish positive relationships at all levels.
  • Proactive mind set and ability to think beyond the task.
  • Flair for learning and understanding latest Shell technologies and IT ways of working (eg SharePoint, Mobile Connect, Skype, Webcasts etc).
  • Understanding of process for booking and using meeting facilities in various international locations.
  • Using office software such as MSWord, PowerPoint, Excel, Outlook, etc.
