Reporting directly to an assigned Manager, Coordinator, Lieutenant, or Sergeant, responsible for providing administrative support to an assigned division. Level I of II in Corrections Office Administrative Specialists.

Examples of duties

  • Provides coverage at a reception desk to assist visitors and callers
  • Ensures comprehensive filing systems are maintained and up to date
  • Retrieves, sorts, and distributes incoming mail and fax documents
  • Creates and maintains various reports, forms, worksheets, and informational materials
  • Enters and verifies data within applicable databases and systems
  • Performs special duties as assigned

Mail Room Assignment

  • Receives, sorts, and distributes mails collected from Post Office
  • Updates incoming and outgoing mail in Odyssey systems
  • Provides mailing supplies to inmates and department as needed
  • Monitors messages, photos, and postal messages from SmartJail system

Bond Services Assignment

  • Processes cash bonds and surety fee deposits and routes them to bank and other Williamson County offices
  • Tracks all incoming money, bond logs, court records and documents provided by bondsmen
  • Scans and emails notice of appearances to courts and issues bond fees refunds as necessary

Logistics Assignment

  • Orders uniforms, equipment and supplies for corrections officers and law enforcement as needed
  • Performs inventory duties of supplies and uniforms and assists with annual budget planning
  • Receives and monitors all incoming shipments and distribution and issues supplies to personnel

ORGANIZATION RELATIONSHIPS

  • Reports directly to – Sheriff’s Office Manager, Lieutenant, Sergeant, or Coordinator

PHYSICAL DEMANDS

  • Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying
  • Position may involve working day and/or evening shifts

ENVIRONMENTAL FACTORS

  • Work is primarily indoors in an air-conditioned environment
  • Contact with persons accused or convicted of crimes
  • Contact with law enforcement officials and public

IRREGULAR HOURS

  • Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
  • May be deemed essential personnel in the event of an emergency

Qualifications

  • High School diploma or equivalent
  • One (1) year of clerical experience in a professional office environment
  • Bond Services assignment: Working knowledge of financial applications

LICENSES AND CERTIFICATIONS

Required within thirty (30) days of employment

  • Valid driver’s license
  • Bond Services Assignment: Criminal Justice Information Systems (CJIS) User Certification

PREFERRED QUALIFICATIONS

  • Mail Room/Bond Services Assignments: One (1) year of directly related experience to assignment
  • Logistics Assignment: Two (2) years of logistical/supply experience in a similar environment (law enforcement, corrections, military)
  • Bilingual (Spanish)
