Job Description

We are looking for Club Administrators to join our teams across our Brussels Clubs:

  • Aspria Royal La Rasante
  • Aspria Avenue Louise
  • Aspria Arts-Loi

We have both full-time and part-time (19 hours/week) opportunities available across our Clubs.

Working closely with the General Manager and the Club Management Team, you will play a central role in the day-to-day administration of the Club. You will support both HR and Finance processes, while acting as a key point of contact between the Club and our support functions.

Your responsibilities

As Club Administrator, your responsibilities will include:

  • Maintaining accurate team member records and documentation across key HR processes, including sickness, maternity and paternity leave, probation, holidays and other leave or absence arrangements, while ensuring that Heads of Department follow the appropriate procedures
  • Ensuring the accurate and timely preparation and delivery of employment contracts and contractual amendments
  • Coordinating the onboarding of new team members, including the required administration and access to relevant systems and tools
  • Supporting time and attendance and payroll administration, ensuring that schedules and relevant employee information are accurate, complete and submitted in line with payroll deadlines
  • Acting as a key point of contact for Heads of Department and team members on day-to-day HR matters
  • Ensuring that HR and Finance procedures are followed correctly and consistently across the Club, while supporting Heads of Department and Supervisors where needed.
  • Completing regular banking reconciliations, investigating discrepancies and ensuring accurate financial records
  • Managing key aspects of Club financial administration, including receipts, invoices, cost tracking and other relevant finance processes
  • Completing regular financial controls and self-audits, ensuring compliance with Finance procedures and providing the relevant information to the General Manager
  • Preparing relevant people and financial updates for Management Team meetings
  • Liaising with Club Support teams on HR and Finance-related matters
  • Depending on Club needs, the role may also include supporting basic member enquiries and feedback, as well as occasional Duty Manager shifts
  • Providing general administrative support to the Club Management Team as required

Requirements and skills

We are looking for someone who:

  • Has previous experience in an administrative role, ideally involving HR, payroll, finance or operational administration
  • Is highly organised and able to manage several priorities and deadlines
  • Has excellent attention to detail and a high level of accuracy
  • Is comfortable working with confidential and sensitive information
  • Is proactive and takes ownership of their responsibilities
  • Has strong interpersonal skills and enjoys working collaboratively with managers and team members
  • Has a genuine interest in Club life and enjoys engaging with both team members and members
  • Is confident working with administrative systems
  • Demonstrates a strong customer service mindset
  • Is fluent in French and English; any additional language is an asset
  • Is adaptable and comfortable working in a fast-moving Club environment
