The Clinical Trials System Administrator (CTSA) directly oversees the Clinical Trial Management System (CTMS) within the Research Institute. This role oversees the day-to-day administration and optimization of the organization's CTMS platform. The CTSA ensures system integrity, user access management, data quality, and process standardization. The Clinical Trials System Administrator collaborates with Clinical Operations, Research Billing Team, Study Management personnel, Finance, and Information Technology teams to implement system enhancements, support business processes, develop standardized reports, and provide end-user training. The position plays a key role in driving operational efficiency, maintaining accurate clinical trial data, and supporting inspection readiness across the clinical research portfolio.
Responsibilities:
1. Functions as the product manager for the Clinical Trial Management System.
2. Maintains the Clinical Trial Management System platform, including system configuration, user account management, security roles, and workflow management.
3. Works with Research Institute (RI) leadership to optimize organizational needs and provides recommendations that will align with the organizational missions and policies.
4. Partners with system vendors and IT teams to troubleshoot issues, coordinate upgrades, and test new software releases.
5. Creates and maintains system documentation, standard operating procedures (SOPs), work instructions, and training materials.
6. Participates as a member of the research institute data governance team to ensure data supports decision-making for individual studies and more broadly across Akron Children's research enterprise.
7. Provides end-user training, support, and guidance to study teams and functional stakeholders
8. Responsible to evaluate, test, coordinate and monitor system upgrades, and maintain relevant applications.
9. Responsible for preparing and maintaining CTMS reports.
10. Other duties as required.
Other information:
Technical Expertise
1. In-depth knowledge of a clinical trial management system (CTMS) preferred.
2. Experience working with all levels within an organization is preferred.
3. Experience in healthcare is preferred.
4. Proficiency in MS Office [Outlook, Excel, Word] or similar software is required.
5. Demonstrate accountability in task ownership and solution-oriented work approach
6. Must be able to work independently using initiative and good judgment
7. Experience identifying and implementing process improvements
Education and Experience
1. Education: Bachelor's degree in healthcare, business administration, information technology, computer science or related field required
2. Licensure: None
3. Certification: Clinical Trials Management System Certification or Clinical Research certification (e.g. SOCRA, ACRP) preferred
4. Years of relevant experience: Minimum of 3 years of experience in clinical research required.
5. Years of supervisory experience: None
