Additionally, we provide Functional Service Provider (FSP) Solutions, supporting our clients with scientific and technical expertise, acting as an extension of their team, coordinating all laboratory related needs, advising on strategies for lab data collection and providing end-to-end analytical and logistical solutions.
The Clinical Trial Materials Specialist I is responsible for receiving, organizing, and maintaining inventory of lab and office supplies, ensuring accurate tracking of expiration dates and lot numbers. This role supports the preparation and shipment of lab kits to investigator sites, including quality control and documentation. The specialist also processes sales orders, performs data entry, and responds to customer inquiries, acting as a liaison with project management teams. Attention to detail and adherence to protocols are essential to ensure compliance and operational efficiency.
• This role is fully onsite in Port Melbourne, Australia.
Essential Duties and Responsibilities
• Receive, stock, and organize lab and office supplies.
• Perform regular inventory checks in accordance with established procedures and timelines.
• Identify and track supplies by expiration date, lot number, and open date.
• Assist with moving bulk supplies and files as needed.
• Prepare and assemble lab kits and shipments for investigator sites, ensuring inclusion of correct supplies and documentation (e.g., expiration dates, lot numbers).
• Pick inventory and build kits to meet production demand.
• Conduct required quality control (QC) checks and document shipped contents.
• Process sales orders and print requisitions and labels.
• Ensure accurate and timely data entry related to inventory, shipments, and kit builds.
• Maintain documentation for all supply and shipment activities.
• Handle customer and site inquiries professionally and efficiently.
• Act as a liaison between the customer/site and the Project Manager team.
• Perform quality control activities to ensure compliance with protocols and standards.
• Support other related duties and tasks as assigned to maintain operational excellence.
Education and Experience
• High school diploma or degree equivalency (or in the process of obtaining) preferred.
Skills and Ability
• Excellent attention to detail, strong planning and problem-solving skills.
• Excellent organizational and time management skills.
• Excellent listening and verbal comprehension skills, including ability to translate client needs to team members.
• Ability to make well-thought-out decisions and adapt to changing environments and requirements.
• Self-motivating and ability to work well independently as well as using a collaborative team approach.
• Ability to adhere to established timelines, processes and procedures.
• Proficient in Microsoft Word, Excel, and database software.
