Position Overview

Panoramic Science, the clinical research division of Panoramic Health, is seeking a detail-oriented Billing Analyst to support the financial operations of our growing clinical research network. This role manages the billing and payment lifecycle for clinical trials across multiple investigative sites, ensuring accurate invoicing, timely payment application, and reliable financial reporting.

The Billing Analyst will work closely with clinical research site teams, Accounting, Treasury, and external sponsors and Contract Research Organizations (CROs) to maintain accurate financial records, resolve discrepancies, and support timely study and month-end closeout. The ideal candidate brings strong organizational skills, an analytical mindset, and an interest in the financial operations of clinical research.

Key Responsibilities

  • Prepare and issue accurate, timely invoices for clinical trial activities, including study start-up, participant visits, milestones, recurring fees, and reimbursable expenses.
  • Record and apply sponsor and CRO payments to the appropriate studies, sites, invoices, and billable activities within the Clinical Trial Management System (CTMS).
  • Reconcile payment remittances, bank deposits, and CTMS transactions while investigating and resolving unapplied, underpaid, or overpaid amounts.
  • Review study activity and supporting documentation to identify completed but unbilled visits, milestones, fees, and expenses.
  • Track and invoice recurring, administrative, study closeout, and other fees in accordance with contractual terms and billing schedules.
  • Maintain complete and accurate billing documentation, payment records, correspondence, adjustments, and reconciliation support in accordance with company accounting policies.
  • Partner with site operations teams to research billing discrepancies and ensure study activities are accurately reflected in financial records.
  • Support month-end reconciliation and study financial closeout by ensuring outstanding billing and payment activities are completed according to established timelines.
  • Perform other duties and responsibilities as assigned.

Qualifications

  • Bachelor’s degree in Healthcare Administration, Business, Finance, Accounting, or a related field required.
  • At least one year of invoicing experience, preferably in a post-award healthcare, clinical research, or research organization.
  • Experience with a Clinical Trial Management System (CTMS) strongly preferred.
  • Working knowledge of accounts receivable, cash application, payment reconciliation, and billing processes.
  • Familiarity with clinical trial billing, sponsor/CRO payments, or study-level financial tracking is highly desirable.
  • Strong attention to detail and organizational skills, with the ability to manage multiple studies, invoices, payments, and competing deadlines.
  • Analytical and problem-solving skills, including the ability to investigate transaction-level details and resolve discrepancies.
  • Strong written and verbal communication skills to collaborate effectively with internal teams and external partners.
  • Ability to work independently, prioritize responsibilities, and meet deadlines with minimal supervision.

Why Join Panoramic Science?

Join a growing clinical research organization where accurate financial operations play an important role in supporting clinical trials across a multi-site network. You’ll collaborate with cross-functional teams, contribute to streamlined billing and payment processes, and help strengthen the financial infrastructure that supports clinical research.
