Job Description

The Clinical Program Assistant provides ethical and professional support to the Clinical Team at Harbor Light. Responsibilities include administrative tasks to aid overall operations. The Clinical Program Assistant collaborates with the clinical team to support all program participants.

DUTIES AND RESPONSIBILITIES:

  • Attend meetings, trainings, and case conferences; take minutes as needed
  • Represent Harbor Light Center and coordinate with community partners
  • Conduct and document intake assessments under supervision; collect key participant information while clinical staff complete diagnoses and recommendations
  • Enter data in EHR systems like EPIC and WellSky; manage reports and records
  • Promote abstinence, harm reduction, and participant empowerment
  • Support counselors with documentation, attendance, and statistics
  • Ensure compliance with care standards, confidentiality, and grievance policies
  • Serve as a mandated reporter for suspected abuse
  • Refer participants to internal and external resources and providers
  • Respond to emergencies and assist with evacuations
  • Enforce program policies and medication compliance
  • Maintain monthly statistics and class documentation in WellSky
  • Other related duties as required

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent (required)
  • Experience in behavioral health, substance use, mental health, or related fields (2 years required)
  • Current AOD Certification or Registration pursuant to CA Code of Regulations, Title 9 § 13010 (preferred)
  • Experience helping individuals with substance use, mental health, or life challenges
  • Experience with Microsoft programs
  • First Aid and CPR certification (within first fourteen days of employment – company provided)
  • Tuberculosis clearance (within first seven days of employment – company provided)

SKILLS AND ABILITIES:

  • Bilingual in Spanish (preferred)
  • Knowledge of clinical documentation (preferred)
  • Integrity and ability to handle sensitive information in a confidential manner
  • Excellent organizational skills
  • Ability to multi-task
  • Ability to work with a diverse population

EQUIPMENT USED:

  • Modern Office Equipment and Relevant Software

PHYSICAL REQUIREMENTS:

  • Ability to lift up to 25 lbs. (usually file boxes)
