Job Duties

Assist with process improvement and clinical implementations regarding the EHR while interfacing with the Millennium team, DBHDS director of clinical informatics and EHR Shared governance body
• Uses evidenced-based assessment techniques, instruments, tools, and effective communication strategies to identify clinical workflow and process issues as well as identify improvements that can be made in workflows and processes
• Make recommendations to facility leadership and managers regarding use of the EHRs • Provide leadership and guidance to define system and process requirements.
• Assist in data collection, analysis and process improvements to ensure best practices and quality assurance.
• Act as a dependable and credible leader who will be viewed as an authoritative staff member at facility
• Work together with colleagues to lead and support the ongoing monitoring, continuous learning, and optimization of the Electronic Health Record System
• Lead the evaluation of updates/enhancements to existing clinical systems in partnership with IT analysts, DBHDS director of clinical informatics and other facility counterparts;
• identify dependencies to implement and guide the implementation efforts
• Review all policies to ensure EHR protocols are accurately reflected • Maintain Clinical competence within the EHR by having firsthand experience in use of the system, allowing for better decisions in change process
• Maintain open communication with facility One Mind Leadership team and convey issues/challenges to Central office EHRS project team as well as the EHR DECISION TEAM and share lessons learned with other facilities
• Coordinate visits from vendor and EHRS team as needed • Assist the EHRS team with determining priorities based on Individual safety impacts

Monitors effective and efficient use of the EHR and facilitates change management to provide for the highest possible quality of Individual care
• Provide oversight of data integration, information, and knowledge to support decision-making by clients and their healthcare providers
• Provide clinical knowledge to keep information technology systems up-to-date and ensuring that pertinent information is accessible to all members of the healthcare team
• Work with facilities’ clinical leadership team to improve the accuracy of Individual data and enable critical data analysis to improve efficiency of overall Individual care • Troubleshoot and work closely with the Millennium Project Team to resolve software and hardware problems to ensure safe and efficient Individual care
• Troubleshoot and identify opportunities to optimize performance and technology utilization • Facilitate change management and recommendations to the facility Millennium Leadership Team
• Understand and communicate the Joint Commission requirements as it pertains to the EHRS
• Understand and update all facility specific system-related processes including downtime procedures and associated policies and procedures • Work with the Millennium Project Team to facilitate software development work sessions and assessment design workgroups as needed
• Monitor facility incident response for system outages that affect EHR access; support leadership to resolve issues related to outages as well as work to mitigate outcomes of future outages affecting EHR access
• Ensure processes and systems promote alignment between clinicians, HIM, Quality/Risk management, IT and Finance.

Assist departments in developing their training content, strategies and methods for ongoing staff education related to EHR implementation. Act as a liaison with training • Communicate frequently and effectively across all healthcare teams to ensure up- to-date information is known and assimilated regarding effective use of clinical systems • Develop training courses to ensure staff development for optimal use and understanding of the EHR
• Facilitate key initiatives and communications across all healthcare teams to ensure up-to-date information is clearly understood and assimilated regarding effective use of clinical systems
• Provide support, education and training to Superusers and preceptors as needed.

E. Monitor and manage ongoing issues related to the EHR at the facility. Provide surveys, facilitate meetings and enhancement request and clinical informatics consult ticket management.
• Monitor break/fix, enhancement and other concerns using the issue tracking system
• Act as a liaison between EHR vendor and facility staff members to draft effective tickets to be placed and coordinates testing with IT analyst and end-users.

Minimum Qualifications

Must have a strong understanding of clinical and administrative people and process workflows within all facility departments • Must be a dependable and credible leader who will be viewed as an authority at facility regarding EHRS • Ability to prioritize requests and business needs proactively and independently • Strong collaborative, meeting management, and group facilitation skills required to achieve DBHDS and facility objectives • Clear comprehension of the implications for the EHR implementation for the facility • Aid in project issue resolutions and enhancements as a collaborative partner with Millennium team • Ability to facilitate post-implementation change management activities including process mapping of current state workflows, review of standard operating procedures to identify gaps in processes, and impacts to facility • Ability to apply project management, leadership, systems design lifecycle, patient safety and quality/process improvement principles. • Strong verbal and written communication skills. • Ability to multi-task. • Excellent collaboration, meeting and group facilitation skills. • Must be an ethical team player and possess the ability to work in cross functional team environments • Objectively and respectfully contribute to creative and positive solutions while respecting different points of view.
