Shift: Monday, Wednesday, Thursday, Friday from 05:00-14:00 / 06:00-15:00

The Clinical Coordinator is a dual-function role responsible for delivering high-quality clinical wellbeing support while ensuring the smooth coordination and day-to-day delivery of onsite services.

The role involves providing one-to-one and group-based therapeutic interventions, alongside supporting operational delivery by coordinating team activities, managing service workflows, and maintaining service quality standards. It plays a key role in ensuring that wellbeing services are delivered effectively, safely, and in alignment with organizational and client expectations.

The Clinical Coordinator also acts as a key point of contact for the onsite Customer Lead, supporting communication, coordination, and issue resolution between the wellbeing team and other stakeholders. In addition, the role contributes to reporting, service monitoring, and continuous improvement, while fostering a collaborative and supportive team environment.

Please note that some flexibility in working hours will be required during the ramp-up phase. In addition, working on public holidays may be necessary based on operational needs.

Key Responsibilities

Clinical Service Delivery

  • Deliver one-to-one, short-term counselling sessions through the booking platform.
  • Facilitate group interventions and psychoeducational workshops focused on resilience, coping strategies, and distress management.
  • Provide a range of therapeutic activities (e.g., mindfulness, creative sessions such as art or music-based interventions).
  • Manage a caseload effectively, ensuring appropriate scheduling and availability aligned with team capacity.
  • Maintain accurate and timely clinical documentation, including case notes and session tracking, in line with GDPR requirements.
  • Identify and manage clinical risk, ensuring the safety and wellbeing of all client employees.
  • Participate in clinical supervision and internal case discussions to ensure best practice and continuous development.

Service Coordination & Operations

  • Coordinate the day-to-day delivery of onsite wellbeing services to ensure smooth and effective operations.
  • Support team scheduling and coverage to maintain consistent service availability.
  • Delegate and prioritize operational tasks across the onsite team as needed.
  • Act as the primary operational point of contact for the onsite Customer Lead.
  • Maintain strong communication between the wellbeing team and key onsite stakeholders.
  • Monitor service delivery against agreed standards and address any gaps proactively.
  • Support the team in responding to emerging operational needs or challenges.
  • Coordinate onsite wellbeing initiatives, events, and service activities.

Reporting & Administration

  • Oversee the preparation and delivery of weekly and monthly client reports.
  • Ensure timely completion of administrative duties across the team.
  • Support audit readiness by coordinating documentation and liaising with relevant stakeholders.
  • Ensure accurate record-keeping and compliance with internal policies and external regulations.

Team Support & Leadership

  • Foster a collaborative, supportive, and high-performing team environment.
  • Provide day-to-day guidance to team members to support service quality and consistency.
  • Encourage knowledge sharing and participation in team meetings.
  • Support onboarding and ongoing development of wellbeing team members where required.

Compliance & Risk Management

  • Ensure all services are delivered in line with organizational clinical governance, safeguarding, and risk management policies.
  • Promote ethical, safe, and compliant service delivery at all times.
  • Support incident management and escalation processes where required.

Qualifications & Experience

Essential

  • Master's degree in clinical psychology, counselling psychology, health psychology, psychotherapy, or a related field.
  • Chartered membership with the Psychological Society of Ireland (PSI) or full accreditation with a recognized Irish professional body (e.g., IACP, IAHIP, APCP, ICP).
  • Minimum of 3 years’ relevant clinical experience, including delivery of one-to-one and group-based interventions.
  • Certification in suicide risk assessment (e.g., SafeTALK, ASIST).
  • Experience delivering short-term, solution-focused therapeutic interventions.
  • Strong organizational and coordination skills, with the ability to manage competing priorities.
  • Strong data management and documentation skills, with high attention to detail and GDPR compliance.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Experience using scheduling, communication, and collaboration tools (e.g., Teams, Slack, calendar systems).
  • Fluent in written and spoken English.

Desirable

  • Experience in Trust & Safety, corporate wellbeing, or employee support services.
  • Experience coordinating service delivery, operational workflows, or team activity.
  • Experience designing and delivering psychoeducational programs.
  • Experience working within a multidisciplinary team.
  • Experience working with digital wellbeing platforms or case management systems.
  • Experience using data to track service utilization and support reporting or insights.
  • Experience with survey tools (e.g., Qualtrics, Google Forms).
  • Experience contributing to dashboards or service reporting visualization.
  • Cross-cultural counselling experience.
  • Additional language skills.
  • Experience working in a fast-paced, evolving environment.
