Position Summary
The successful candidate for this position will work with a dynamic team of staff, faculty and administrators to provide secretarial support for the university. This position is assigned the following essential functions
1. Creates and maintains clinical contract database of over 700 clinical affiliation agreements for MCHPS Clinical Coordinators.
2. Creates repository of clinical education policies and handbooks for MCHPS Clinical Coordinators.
3. Facilitates communication with MCHPS Clinical Coordinators, Risk Management office, and external organizations to secure signatures on affiliation agreements.
4. Provides the Master of Athletic Training and the Associate of Science in Respiratory Care programs with administrative assistance.
5. Types letters, reports, records, or other related documents from rough draft; modifies form letters to fit varying situations; composes routine correspondence; provides recordings, and/or dictated materials; corrects sentence structure, punctuation, and spelling; proofreads completed materials.
6. Screens and distributes incoming correspondence; fills requests for materials and prepares materials for mailing.
7. Compiles information and prepares various statistical, business, and research reports; types and prepares final reports for supervisor’s approval.
8. Maintains departmental, personnel, and student records and filing systems; maintains financial records for operating and equipment expenses; orders and maintains office supplies and equipment for various laboratories, as needed.
9. Schedules appointments; arranges and participates in conferences and meetings as requested; secures travel arrangements, as needed.
10. Coordinates special events; assists in registration of participants, arranges for physical facilities, housing, and food services to be available, as requested.
11. Greets visitors; maintains cleanliness and organization for the office, answers telephone; refers callers to proper persons based on type of information requests; answers inquiries requiring standard factual information; takes messages.
12. Aids in the recruitment and hiring of student workers, as needed.
13. Facilitates and maintains accreditation files, updates accreditation software when needed, and works to support accreditation and/or specialty certification needs as required.
14. Provides full secretarial support using Microsoft Office software applications, including but not limited to, Excel, Outlook, Word, PowerPoint, Forms, Teams, as well as university services software such as Colleague, PeopleAdmin and other program-specific software and/or online platforms.
15. Performs other duties as assigned within the scope and responsibility and requirements of the job.
Required Qualifications
Qualifications | Education Educational background equivalent to a high school degree/ GED with specialized courses in bookkeeping, word-processing, and office procedures.
Experience Three years of general secretarial experience with a working knowledge of Microsoft Office products (e.g., Word, EXCEL, PowerPoint, Teams, Forms) and office equipment (e.g., telephone, computer, calculator and copier, etc.).
Skills Must possess excellent verbal, written, proofreading and organizational skills; the ability to read and comprehend work orders, written instructions and procedure manuals; the ability to transcribe correspondence and enter data into records and logs with accuracy; the ability to perform basic mathematical calculations; the ability to multitask and prioritize responsibilities; ability to seek direction regarding courses of action; and the ability to research and compile data.

Preferred Qualifications
- Associate’s degree in business or related area.
- Experience with contract management including maintenance of contract management software or databases.
