The Shared Service Administrator role

The Shared Service Administrator will play a key role in supporting activities in the clinical pathway for patients/study participants in all Recognition Health Services, in both the UK/US and future entities. Working as part of a team, and in collaboration with on site colleagues, the Shared Service Administrator will ensure our patients/study participants receive a responsive and high quality service.

The role will also support key onsite activities, including supporting laboratory preparation, carrying out lab checks, working with site files and clinical trial data in our Bristol site.

key Responsibilities

  • Providing administrative support to the Clinical Trial Coordinator, preparing CRFs (Source documents) and other essential documents
  • Maintenance of Investigator Site File (ISF), study documents and data entry
  • Assist with laboratory sample management, including processing laboratory samples and assist with pharmacy checks
  • Support the MRI/PET, or any other imaging, bookings and results process from start to end, ensuring requests are made, tracked and uploaded to CIMAR,EDC and reports received in line with agreed timescales, escalating urgent results/delays and complete the external visits on CRIO
  • Support the blood and other test booking and results process from start to end, ensuring requests are made, tracked and uploaded in line with agreed timescales, escalating urgent results/delays
  • Ensure correspondence with external health partners (GPs, and others specialists) is requested, tracked and results uploaded and filed in line with agreed timescales, escalating urgent responses/delays
  • Prepare, proof read and send clinic letters
  • Ensure correspondence with patients/study participants and issues to the agreed timescales and to a high standard of accuracy
  • Maintain adequate records and ensure all relevant information is accurately documented in the patient/participant’s electronic or paper files and relevant systems
  • Support telephone cover, responding to telephone queries, and transferring calls to the relevant business areas
  • Perform data entry and ensure data queries are resolved promptly in accordance to RCH SOPs, policy and ICH-GCP principles.
  • Assist with other administration of all services and studies, as and when required
  • Support central scheduling, booking appointments, re-scheduling, responding to scheduling related enquires and resolving scheduling issues
  • Support patient expense reimbursement management (internal/ third party provider)
  • Support patient and insurance billing
  • Support Prescription management
  • Serve as a member of the Shared Service Centre team with the goal to contribute towards efficient management of patients and participants, sharing ideas for improvement and innovation
  • Work collaboratively with site staff to problem solve, and resolve queries expediently

Salary: £31-33K per annum, depending on experience

Role: Permanent Full time

Location: On site Bristol during training, hybrid 2 days after probation

Essential

  • BSc educated in life sciences
  • Previous administration experience in a clinical setting
  • IT Proficiency (Microsoft Office package)
  • Good verbal and written communication skills

Desirable

  • Clinical trials experience in an NHS, academic or commercial setting
  • Experience of managing essential documents for clinical trials according to ICH GCP
  • Experience of using electronic data capture systems, e.g. medidata RAVE
