Job Title Clinic Scheduler

Department Clinical Services

Reports To: Clinic Operations Manager

FLSA Status: Non-Exempt

North Olympic Healthcare Network (NOHN) is seeking a Clinic Scheduler. In this role you will be responsible for oversight and development of Clinical and Support Staff schedules to maximize patient access and efficient clinical operations.

ESSENTIAL FUNCTIONS:

  • Creates and coordinates provider schedule templates within NOHN Epic, ensuring complete, accurate schedules are developed in a timely manner.

  • Coordinates support for providers paid time off and continuing medical education requests.

  • Manages provider call offs and ensures changes are made timely to the schedule templates.

  • Helps coordinate and track patient rescheduling

  • Working under the direction of the A & O Team, manages schedule blocks as appropriate.

  • Facilitates additional provider coverage as needed

  • To maximize room utilization, develops and maintains an understanding of services offered, facility layout, and the number of providers available.

  • Collaborates with internal staff and external entities to help create and disseminate provider on-call schedules

  • Tracking and reporting scheduled clinic hours vs actual clinical hours on a provider-by-provider basis

  • Create and maintain NOHN Clinical Master schedule in collaboration with Clinical Support Supervisors

  • Other duties as assigned by manager or designee.

Qualifications

Knowledge of:

  • Scheduling practices and concepts

  • Access planning

  • HIPAA laws and regulations 

Education/

Experience:

  • High school diploma or equivalent required

  • Preference given to candidates who have completed a post-secondary degree with a healthcare concentration

  • Previous scheduling experience preferred but not required

  • Must have and demonstrated a very strong attention to detail while simultaneously being able to anticipate the broader impact of “small” changes

  • Must have an approachable, respectful, and confident communication style with all staff including providers, support staff, and administration.

Technical Knowledge:

  • Electronic Medical Record software; Epic knowledge preferred

  • Intermediate to advanced used of Microsoft Office software specifically Word, Excel, and Outlook

  • Office equipment including computers, telephone system, fax machine, and scanners

Physical Demands:

  • Must be able to walk intermittently for 8 hours.

  • Some standing, sitting, bending, occasional lifting up to 20 lbs.

  • Use hands and fingers to continually manipulate a keyboard.

  • Must be able to verbally communicate and hear.

  • Viewing the computer for 8 hours.
