About the Role

The Clinic Nurse & Immunization Lead (RN/LPN) will be responsible for communicating with patients, pharmacists, and physicians on prescription refill requests, along with overseeing and coordinating immunization services, ensuring compliance with regulations and best practices.

Clinic Nurse (RN/LPN) tasks will help out on the clinic floor when staffing/volume demands it. The nurse will obtain and administer prescriptions and narcotics as ordered by the providers. This nurse must be available for duties assigned by the Clinic Director as deemed necessary. This nurse must maintain quality assurance and quality improvement as warranted. They must also monitor supplies and medications for quantity, quality, and outdates.

Immunization Lead (RN/LPN) tasks are managing vaccine inventory and storage, supports staff training, administers vaccines as needed, and educates patients and families. This nurse collaborates with providers, billing and purchasing, and external partners while supporting overall clinic operations and patient care.

As the Clinic Nurse & Immunization Lead, you will drive success of the clinic provider’s workflow and clinic’s immunization program by ensuring safe, compliant, and efficient vaccine delivery. You take ownership of your provider tasks, along with vaccine management, staff training and patient education, while actively administering immunizations and supporting patient care. By collaborating with providers, internal teams, and external partners, you strengthen the programs quality, improve vaccination rates, and advances preventative health outcomes in the community.

Customer Service

Clinic Nurse:

• Deliver patient education and support informed decision-making
• Prescription refill authorization and proper documentation with patients in EMR
• Assist with appointment scheduling, reminder calls, and overall patient flow as needed
• Provide high-quality, patient-centered care under the direction of providers
• Manage telephone triage and respond to patient inquiries in a timely and professional manner
• Communicate effectively with patients, providers, and pharmacies regarding prescription refills and care coordination

Immunization Lead:

• Ensure patients and families receive appropriate Vaccine Information Statements (VIS) and coordinates reminder notifications for multi-dose vaccine series.
• Provide patient-centered education on immunizations, including benefits, risks, and vaccine schedules.

Billing Procedures & Accounts Receivables

Clinic Nurse:

• Support prescription refill authorization processes in alignment with provider orders
• Assist with maintaining accurate clinical documentation to support billing and reimbursement workflows, such as patient consent forms, insurance eligibility, prior authorization support

Immunization Lead:

• Coordinates daily patient preparation by reviewing immunization records, identifying vaccine needs, and communicating with reception and billing to verify eligibility and ensure readiness for each visit.
• Support accurate documentation to facilitate proper vaccine billing, coding, and reimbursement.

Inventory & Order Placement

Clinic Nurse:

• Monitor clinical inventory, including medications and supplies, for quantity and expirations dates
• Perform routine equipment checks, including AED monitoring to ensure compliance

Immunization Lead:

• Monitors and documents vaccine storage temperatures daily (morning/afternoon) in compliance with state requirements, submitting records to KDHE and completing monthly reconciliation as needed.
• Maintains accurate vaccine inventory for both private and public stock across WebIZ and Cerner.
• Manages vaccine ordering and documentation through WebIZ and SCH Pharmacy, ensuring accurate charting in Cerner and immunization registries.

Policies & Procedures

Clinic Nurse:

• Maintain strict patient confidentiality in accordance with HIPAA and organizational standards
• Assist Nurse Supervisor with any updates and procedures as needed such as protocols and forms

Immunization Lead:

• Maintains immunization program policies in alignment with KDHE guidelines and regulatory standards.
• Complete required documentation, reporting, and reconciliation of immunization records to ensure accuracy and compliance.
• Oversees vaccine program compliance activities, including temperature excursions, vaccine borrowing, and monthly reporting per KDHE requirements.

· **All individuals in this department are expected to treat patients under the direction of the physicians in compliance with the wishes of the patient/customer and family members as long as it does not conflict with physician’s orders and is in the best interest of the patient/customer. At no time should the personal interests and beliefs of a staff member interfere with treatment and care a patient/customer receives.

Organizational Support

Clinic Nurse:

• Participate in training new nurse staffing on clinic workflows and use of EMR system
• Help with physician scheduling and clinical templates as needed; to include marking out days off, when meetings occur, when providers may be on-call, and days when in Park Lane Nursing Home
• Participate in immunization program and view records in WEB IZ, then give any documents to Clinic Lead Immunization Nurse to update WEB IZ records
• Assist Medical Assistants by checking patients into rooms as needed, tasks including entering patient medical history and update all medications in EMR system

Immunization Lead:

• Leads staff education and training on immunization administration, protocols, and best practices.
• Maintains accurate, compliant immunization records in EMR and state registries.
• Collaborates with clinic leadership, providers, and external partners to support program effectiveness and success
• Completes mandatory KDHE annual training, certification, and quality improvement initiatives, ensuring documentation is uploaded to WebIZ
• Ensures proper management and retention of Vaccine Information Statements (VIS) and all required immunization documentation per KDHE guidelines.

Requirements

Qualifications

· Current Kansas state RN or LPN license, and BLS certification required.

· Previous project management experience required.

· Experience in clinical assessment and immunization practices, with training experience and knowledge of public health programs and state immunization registries preferred.

Position Details

· Schedule: Full-time position, 40 hours per week, Monday–Friday. Regular and punctual attendance required. Lunch Break – 12p-1p – will need to clock out and must stay in clinic until all provider patients have been seen, no earlier than 4:30p unless approved by Nurse Supervisor and/or Clinic Director

· Physical Requirements: Frequent standing, sitting, walking, bending, and kneeling. Able to lift 35 pounds. May require sitting for long periods of time.

· Equipment: Frequent computer use and interaction with clinical systems and equipment
