Job Description

GENERAL DESCRIPTION

• To assist in outpatient registration in respective clinics.

• Cordially receive all patients with or without appointment, which were directed from the Main Lobby, A&E and Special Diagnostic.
• Ensure registration is made accordingly (patient demographic, preparation of forms and mandatory open a file for new patient).
• To trace, bind (accordance to the work instruction, policies and procedures) repair if necessary all case notes under his/her care.
• Strictly maintained the confidentiality and safety of the patient at all time in the clinic, hospital and elsewhere whichever is necessary.
• Ensure all case notes are requested a day earlier prior to their appointment date. Upon the appointment date, case note is collected from the Medical Record Library and return after treatment without failure.
• Case notes are strictly not to be kept in the clinic without reason and approval from the superior in-charged.
• Fully responsible for the transaction and retrieval of case notes are requested.
• All transactions to or from their respective station must be documented and must not expose to public.
• Ensure maintaining the smooth flows of the clinic and apply the best clinic management at all time (inclusive of appointment systems, tidiness and or other requirement).
• Attend to the needs of their customers and consultant.
• For new patient, explanation is highly needed.
• Clearly explain to patient all rules and requirement before and after treatment inclusive of charges.
• Ensure all cases are charged and keyed-in respectively.
• All patient with guarantee letter or insurance card (mco’s) should be coordinated strictly before execute treatment wherever is necessary.
• Courtesy, efficiency and attentive must be maintained professionally at all time.
• Clinic Assistant must have a good knowledge and basic clinical procedures pertaining to their consultant speciality, needs and requirement.
• Must able and prepared to rotate duties and mobile with other staff or works.
• Ensure all activities in managing the clinic are properly & professionally documented.
• Strictly follow all rules and regulations of the issuance and transactions of Medical Certificate Book (MC), Birth & Death forms, circulations of communicable diseases book/form and strictly abide with the statutory standard & body.
• Actively participate in departmental & hospital activities. Perform any other duties as and when required by the management.

OTHER RESPONSIBILITES

• To participate actively in any other new service that is introduced by the organization.
• Comply with Company Policies, Health and Safety Policies. Ensure conformance to all policies and procedures of ISO 9001:2015, ISO14001:2015, OHSAS 18001:2015, HALAL, Malaysian Hospital Accreditation Standards.
• Ensure adherence to Standard Service Practice (SPP) at all times.
• Ensure adherence to related legal requirement.
• Provide processes that support patients and family rights during care regardless of age, race, language, religion and social status.
• Adopt and practices the Patient Safety Goals as safety improvement measures recommend by World Alliance for Patient Safety (2008).

JOB REQUIREMENTS

Education:

• Minimum: SPM in equivalent.

Experience Required:

• Minimum: Preferably 1 years relevant working experience.
