How you’ll contribute

A Clinic Manager who excels in this role:

  • Manages and administers front- and back-office operations and clerical services within the assigned clinic. The scope of a Practice Manager I is seven providers or fewer, while the scope of a Practice Manager II is more than seven providers.
  • Evaluates, develops, recommends, and implements clinic policies and procedures related to the delivery of safe, efficient, and quality care.
  • Plans and directs employee activities in coordination with physicians and the Practice Director.
  • Consults with the Clinic Director regarding issues and challenges within the clinic.
  • Directs and supervises employees in accordance with clinic leadership, HR, HSC, governmental, and other regulatory standards.
  • Maintains policies, procedures, and office readiness for state inspections.
  • Recommends departmental policies and procedures consistent with organizational goals and ambulatory care accreditation standards. Updates and maintains procedural manuals and communicates changes to staff.
  • Coordinates departmental schedules, including vacations and leaves, in an equitable and consistent manner. Designs work schedules, hours, and duty assignments to accommodate physician schedules. Assesses staffing patterns and recommends changes as needed.
  • Reviews and approves back-office and clerical personnel payroll, timecards, and overtime.
  • Conducts annual personnel evaluations.
  • Maintains departmental communication by holding staff meetings and responding to written and verbal questions and concerns in a timely manner.
  • Coordinates and implements the interviewing, hiring, orientation, training, evaluation, discipline, and termination of clinic employees in coordination with HR.
  • Performs monthly quality assurance (QA) activities.
  • Conducts annual training on OSHA and other regulatory requirements.
  • Monitors staff and physicians for required CPR, ACLS, TB, and other certifications and screenings.
  • Monitors the ordering of medical and office supplies.
  • Oversees, delegates, and resolves tasks and billing issues.
  • Ensures all charges are submitted in a timely manner.
  • Ensures all staff and positions are appropriately covered and functioning effectively throughout clinic operations and patient visits.
  • Establishes lunch schedules for all staff.
  • Establishes staggered employee schedules based on established clinic hours.
  • Approves timecards and prepares attendance logs.
  • Maintains provider appointment templates and makes changes as requested. Appropriately blocks provider holiday and vacation time.
  • Reviews daily statistical reports and adjusts staffing levels based on positive or negative volume trends. Addresses negative volume trends by working with administration and providers to identify ways to drive business.
  • Provides front-office coverage when short-staffed and as needed during peak hours.
  • Interviews, hires, and trains new employees.
  • Loads new locations and enters all pertinent information to ensure claim defaults are accurate.
  • Prepares introductory staff evaluations and competencies. Reviews results with staff and develops appropriate training goals and plans.
  • Coaches, counsels, and mentors employees and assists with the assimilation of new employees.
  • Orders office supplies and oversees the ordering of back-office clinical supplies.
  • Addresses patient complaints and suggestions.
  • Tests database upgrades prior to implementation.
  • Reviews tasks and claim denials and retrains staff as necessary to prevent future errors and omissions.
  • Processes and balances daily deposits and balances cash drawers daily.
  • Serves as a liaison between providers, staff, and administration.
  • Facilitates departmental staff meetings to educate staff and review departmental workflow.
  • Conducts daily department huddles.
  • Provides employee counseling as needed and conducts regular follow-up on employee action plans.
  • Participates in and remains engaged in monthly financial reviews of the group and individual physicians.
  • Prepares annual staff evaluations and competencies, reviews them with staff, and develops appropriate training goals and plans.
  • Maintains patient privacy and confidentiality in accordance with HIPAA standards..


What we’re looking for

Education

  • High school diploma required; college degree preferred.


Skills & Competencies

Business Mathematical Skills – Ability to perform basic mathematical calculations, including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals. Ability to compute rates, ratios, and percentages, and to interpret and create basic graphs and reports.

Computer Skills – Proficient in the use of standard office technology, including email, word processing, spreadsheets, and data entry. Ability to create, maintain, and apply basic functions in documents, spreadsheets, databases, and presentations to support business objectives.

Communication Skills – Effectively communicates complex information and interacts with leadership and staff at all levels. Demonstrates the ability to navigate sensitive situations, resolve conflicts, and influence or motivate others.

Problem-Solving & Decision-Making – Addresses varied and complex business challenges requiring analysis, interpretation, and sound judgment. Utilizes experience, established practices, and organizational guidelines to resolve issues.

Operational Impact – Decisions primarily impact departmental operations and management. May contribute to broader operational and business decisions affecting the department.

Independent Judgment – Establishes goals and priorities for functional areas. Provides recommendations for departmental policies, procedures, and programs, and resolves issues affecting team members.

Project Management & Organization – Manages multiple projects simultaneously, including task delegation, project oversight, and resource allocation.
