The Clinic Manager/Office Administrator is responsible for the day-to-day operations of the clinical office, ensuring smooth workflow, efficient administrative support, and exceptional patient service. This role serves as the primary liaison between medical staff, patients, and administrative personnel, overseeing office procedures, staffing, compliance, scheduling, and budgeting. In the absence of the Clinic Administrator, the Clinical Manager assumes this responsibility and accountability.

· Supervise medical records’ activities and proper documentation both hardcopy and in the computer.
· Ensure employees comply with regulatory and company policies in handling and accessing patient information, referring questions/problems to the Compliance Officer.
Overall Operations
· Be able to back up for all stations as necessary
· Any other activity outside of normal operating procedures
· Keep administrator apprised of activities at regular meetings and present operational and financial report as requested.
· Immediately report any potential liability concerns to supervisor and/or Compliance Officer as appropriate.
· Evaluating and recommending operational changes as company grows.
· Continuously seek ways to improve operations’ effectiveness and service quality.
· Coordinate activities between offices to maintain flow and utilize staff efficiently
Marketing
· Handle complaints from patients, referring entities, attorney calls, etc.
· Maintain positive relationships with referring sources and patients.
· Conduct marketing visits to referring sources as needed.
· Occasionally monitor top and new referral sources to identify potential problems.
Special projects as needed.
