Kidney Specialists of South Texas is hiring a Clinic Manager. This position is office based, Monday-Friday 8am-5pm. There are 2 full time clinic locations and 1 part time clinic location. Join our growing practice today!

Clinic Manager manages the overall operation of the Practice, including but not limited to, quality assurance and patient care, financial management, physician relations, safety, risk management, teammate management, equipment maintenance and inventory and other required duties that may arise during the general operations of the practice. The Clinic Manager ensures compliance with Occupational Safety and Health Administration (OSHA) standards, standards established by the Joint Commission (JCAHO) and compliance with other regulatory agency standards. Position directly manages local practice and has full supervisory responsibility for designated staff and all teammates within assigned practice for recruitment, hiring, retention, performance development, performance management, salary adjustments, and termination of direct reports.
Responsibilities include:
• Utilizes AIDET/customer service standards and demonstrates Panoramic Health Standards of Behavior.
• Review patient schedules to maximize patient service (check for cancellations and add in patients, check availability to accommodate an emergency patient, pull patient charts and records as appropriate).
• May open the clinic on a daily basis.
• Perform administrative support activities such as correspondence, filing, faxing, mailing, etc. as necessary or assigned.
• Answer and route incoming telephone calls appropriately.
• Monitor, maintain, and order office supplies and equipment as instructed.
• Serve as liaison between physicians and referring facilities; ensure communication across the care continuum.
• Verify patient insurance and obtain referrals if necessary.
• Coordinate dialysis treatments for patients and transportation if needed.
• Forward billing information to appropriate central resource.
• Maintain patient confidentiality; know and adhere to all HIPPA regulations.
• Participate in community education activities and programs.
• Manage direct reports to include performance management and employee development.
• Perform other duties and responsibilities as required, assigned, or requested.
Specific Initiative:
• Extend Service Lines – grow outpatient programs and support outside marketing and data collection.
• Revenue Cycle Optimization – verification, authorization, and denial avoidance. Regular standing bi –weekly calls with the ROPS team.
• Patient Schedule Optimization - Limit gaps in schedule, allow add on, fill the rooms.
• Teammate Schedule Optimization - Manage Teammate schedule and hours worked to align with patient census.
• Practice Governance – support agenda creation and presentations during the Monthly Operations meeting.
• Provide a standing weekly and monthly report to the ROD.
• Intra-month performance awareness. Question, analyze, and assess business performance on a weekly basis (vs. 3 weeks after month end close).
• Conduct daily huddles with staff.
• New site planning or conversion.
• Support EMR alignment.
• Validate monthly data seek agreement on schedule, superbill, claims, EMR, Case Cost and clinical reporting to all match each month.
Marketing and Referral Support:
• Measure effectiveness of marketing programs
• Analyze market data to prioritize outreach and education plans.
• Conduct monthly communication with dialysis leadership to monitor quality, timeliness, and coordination. Proactively solicit feedback and offer community educational outreach activities
Communication and Relationship Management with Physician Practice(s):
• Able to manage relationships throughout the organization.
• Facilitate communications at all levels of the organization in a professional manner.
• Be the first line relationship manager for the physicians and practice.
Financial Management:
• Manage practice budget and inventory relative to patient volume; implement policies and procedures as established by management.
• Present and explain monthly financial information to practice physicians.
• Update analytics and comparative metrics to drill into monthly results on a per case basis or margins by service line reviews.
• Collaborate with reimbursement department to facilitate billing effectiveness.
Qualifications:
• Bachelor’s degree in related field or equivalent experience
• MBA strongly preferred.
• Minimum of 5 years’ experience in healthcare management required.
• Minimum of 2 years’ experience multi-site management
• Other qualifications and combinations of skills may be considered at discretion of ROD and/or Divisional Vice President.
• Advanced computer skills and proficiency in MS Word, Excel, PowerPoint, and Outlook required.
• Demonstrated strengths in organizational, attention-to-detail, follow-through, analytical, reasoning, critical thinking, and problem-solving skills.
• Strong understanding of business process with the ability to translate business requirements into clinical requirements and deliver high quality patient care.
