Summary

Supervise and oversee the day-to-day operations of the Border Health Clinic's services front office. Plan and coordinate a variety of service functions related to front desk operations to include scheduling staff, training, assisting patients, maintaining medical records, and ordering office and medical supplies. Comply with Health Insurance Portability and Accountability Act (HIPAA) and Occupational Safety and Health Administration (OSHA) rules and regulations. In-person work on campus is an essential function of this position.

Examples of duties

Supervise and schedule rotating part-time, work-study students and volunteers as they perform front office duties. Assist and register walk-in patients per registration protocol, policy and procedures. Serve as back up for front office duties to including: providing and collecting registration and medical history forms, scheduling appointments, answering incoming calls and routing them as needed, handling payment deposits, and maintaining accounting records.

Train assigned staff, work-studies, and volunteers in appropriate patient care customer service, patient intake services, exam room care/sterilization and stocking. Assist in taking patient vital signs, weight and height, drawing blood, and administering immunizations.

Receive and track all ordering and receiving of office and medical supplies, medical equipment, and medications purchased for the clinic. Act as liaison between various suppliers and other community organizations.

Collect and audit data for monthly reporting for reimbursement and payment to Project Arriba, Work Place Literacy and University Medical Center (UMC). Log and track immunizations for reporting purposes to UMC.

Maintain patient database and Medical Director Site visit patient list to include creating and maintaining medical records for the Rio Grande Border Health Clinic in compliance with clinic procedures, HIPAA, and laws governing handling of medical records.

Coordinate and oversee the storage, transportation, and delivery of various specimens to area laboratories. Responsible for the proper disposal of hazardous materials for the clinic in compliance with OSHA rules and regulations and college policies and procedures.

Collect payments for services rendered, assist patients with kiosk payment, direct patients to the cashier, and process refunds. Issue cash receipts and make bank deposits. Update the Nursing Clinic Manager on any front office concerns or problems involving the clinic.

Assist with coordinating community events such as titer clinic and health fairs.

Perform other job-related duties as assigned.

Qualifications

Required Qualifications:

  1. Associate’s Degree or higher and three (3) years of related experience preferably in a medical or dental clinic, physician or dental office, or hospital setting or an equivalent combination of education and experience which demonstrates possession of the required knowledge, skills, and abilities. Preferably in a medical or dental clinic, physician or dental office, or hospital setting.

NOTE: A copy of the transcript reflecting this required education MUST be submitted for consideration and reflect completed coursework and degrees conferred. The candidate must be fully qualified for the position at the time of application.

  1. Current certification or license as a Registered Medical Assistant (RMA) or Certified Medical Assistant (CMA), Registered Dental Assistant (RDA) or Certified Dental Assistant (CDA), Licensed Vocational Nurse (LVN), Licensure or certification in another nursing or allied health field may also be acceptable.
  2. Ability to communicate clearly and effectively.
  3. Ability to supervise and train staff.
  4. Knowledge of HIPAA and OSHA rules and regulations.
  5. Knowledge of inventory control.
  6. Knowledge of medical terminology.
  7. Ability to establish and maintain effective working relationships with staff, faculty, and the public.
  8. Ability to maintain confidentiality of work-related information and materials.
  9. Word processing, data entry, telephone, and computer experience.

Special Conditions:

  1. This is a security-sensitive position as defined under the Texas Education Code, Section 51.215; the successful applicant will be required to undergo a criminal background check, as permitted and/or required by applicable law, and in accordance with the College’s policies and procedures.
  2. Must possess or obtain a valid Texas driver's license.
  3. Must pass a drug screening.

Transcripts issued in a language other than English must be accompanied by a full translation (word for word) by a current member of the National Association of Credential Evaluation Services (NACES). Additionally, each foreign transcript must be evaluated for equivalency to United States accredited coursework.

Out-of-town candidates invited for an on-campus interview will be reimbursed for one-half of the transportation cost for travel performed within the United States. The College will arrange and pay for up to two nights lodging.
