As a Client Services Navigator II you will ensure the office runs smoothly through a variety of administrative and clerical duties. Often serving as the face of Lighthouse, you support the clinical work of the organization to empower, uplift, and help others heal from the many forms of mental illness, trauma, or addiction.
To meet the increasing needs of our communities it is imperative that all team members understand and successfully reach and maintain the expected performance standard levels. In order to achieve total and sustainable success each person must do their part. Lighthouse will do its part in providing any and all necessary tools and training required to help team members be successful.
DEFINITION:
Under immediate to general supervision, performs excellent customer services practices where clients and visitors will feel safe and welcomed in an inviting and comfortable environment. Guests will be treated with respect and dignity. The respective Clinic Navigation Manager, Clinic Navigation Lead, or Director of Outpatient Clinic Navigation supervises this position.
QualificationsEDUCATION AND EXPERIENCE:
- High school diploma or GED or an equivalent competency.
- Experience in dealing with the general public in various and sometimes difficult situations while maintaining courtesy and diplomacy.
KNOWLEDGE AND SKILLS:
- Ability to work effectively and courteously with people from various cultures and backgrounds, and to exercise good professional judgment.
- Ability to communicate effectively, orally and written.
- Must be able to type, alphabetize, and demonstrate proficiency in general business correspondence.
- Able to follow oral and written instructions.
- Knowledge of telephone procedures, of spelling, punctuation, and grammar, of basic arithmetic, and of standard business letter forms.
- Must be able to operate office machines (computers, calculator, fax, copiers, etc.)
- Able to work within an integrated team setting to facilitate care by providing customer service, following agency workflows, scheduling appointments, and serving as a liaison between consumers and providers.
JOB DUTIES AND RESPONSIBILITIES:
This position is responsible and held accountable for the following duties:
- Answers and directs phone calls and messages through the clinic.
- Greets and assists the consumer with paperwork and appointment check-in.
- Directs all consumers in the waiting room and throughout the clinic.
- Requests and gathers financial documents and uploads them into the Electronic Health Record.
- Manages efficient scheduling protocols and schedules appointment for all clinic providers based upon the agency workflows and provider requests.
- Manages med clinic. Takes vitals, seats consumer in med room and schedules return appointments.
- Follows Lighthouse Outpatient Procedure and Protocol for appointment reminders and schedule/calendar entries.
- Maintains documents and records in an orderly manner and files them quickly and accurately.
- Completes all agency documentation of services in a thorough, accurate and timely manner.
- Regular and predictable attendance is an essential job requirement.
- Employee must be willing and able to perform all job-related travel normally associated with this position.
- Must meet agency standards of productivity and fiscal responsibility.
- Must meet “satisfactory” expectations at any scheduled job performance evaluation, coaching and/or Performance Improvement Plans.
- Assessment and appraisal of quality of work will be evaluated through training, skill, chart review, or special purpose.
- Performs other reasonably related duties as assigned by the immediate supervisor or other management as requested.
Must perform the specific job duties as listed above to meet position expectations.
In addition, must possess skill in working cooperatively and effectively with clients, staff, management, and other professional and community groups; in exercising mature judgment in dealing with people; in presenting ideas clearly and accurately; in reading and comprehending the English language; and in communicating effectively, both orally and in writing.
